Job Description

Job Advert Summary To provide efficient secretariat services and administrative support to all RW Governance Structures in line with corporate governance standards and all other applicable legislative and statutory requirements. Minimum Requirements • CIS/equivalent qualification in company secretariat focus • 2-3 years’ experience in company secretariat environment • Proven customer orientation • General administration and/or secretariat experience • 5 years minute taking experience • MS Office Suite • Willingness to work irregular hours or as and when required Primary Duties • Prepare notices, agenda and meeting packs within the prescribed timelines • Attend meetings, record and take minutes • General office administration, planning and coordination • Circulate minutes and communicate resolutions • Collate and follow up on reports, submissions and meeting documentation for compilation of the PIC pack • Arrange delivery and ensure timely distribution of meeting documentation • Book the meeting venue, catering and assist with travel bookings • Maintenance of PIC documents, record keeping and ensuring that documents are readily available • Ensure that minutes are signed by the Chairperson and submitted to records department for safekeeping • Maintain minute books and other statutory registers in accordance with the legal requirements and best governance practices • Type documents, reports and letters for preparation of meetings • Maintain, update and upload information on the PIC portal • Ad hoc duties as required from time to time Knowledge • General administration experience • Public sector governance and compliance (added advantage) • Corporate governance principles and compliance • Knowledge of PFMA and/or applicable legislation • Knowledge of Water Services Act and Companies Act Skills • High level minute taking capabilities • Telephone etiquette and high business acumen • Good command of English • Good interpersonal skills • Information management and monitoring • Planning and organising skills • Ability to liaise at senior level Attitude • Maintain Confidentiality • Retain professional image at all times • Integrity and Honesty • Ability to work independently and in a team • Dealing with unrealistic demands • Customer Service orientation • Quality orientation • Deadline driven • Ability to work under pressure • Attention to detail
