Job Description

Minimum Requirements: • National Diploma (NQF Level 6) in Office Management/Administration, Business Administration. • Minimum 5 years in a Secretarial/ Admin position, of which at least 3 years’ experience at executive level • Experience in Office Management, involving multidisciplinary functions • Considerable knowledge of standards secretarial practices and of Business English, modern office equipment, practices and procedures. • Demonstrable high-level knowledge, experience in computer literacy • Able to work independently and under pressure and to priorities according to deadlines. • Ability to compose a variety of letters and memoranda and to perform office management details without referring to the supervisors. • Demonstrated organizational and planning skills and the ability to promote process improvements to create institutional efficiencies. • Good interactive and PR skills. Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff. • Ability to work as part of a team,independently, and under pressure in managing conflicting demands within specific areas of the role. • Proficient in a variety of Windows-based computer programs including MS Office, Internet. • Budget management experience and MS Excel skills with the ability to learn University operational and financial systems. • Excellent communication skills – verbal and written/electronic with the ability to interact effectively with constituents at all levels required • A flexible approach to work and the ability to undertake a board range of administrative duties. • Project management skill and experience Preferred Qualification: • N/A Key Responsibilities: • Provides a full range of high level administrative and secretarial support to the DVC: People and Operations which includes managing his/her diary. • Confirms daily schedule and workplan and arranges appointments in a time effective manner. • Provides a variety of executive support tasks that may be highly sensitive and confidential. • Co-ordinates office activities for the DVC and responds on behalf of the DVC when required and authorised. • Types correspondence, reports and presentations, including layout and formatting, which are all processed for the DVC in a timeous manner. • Reads, screens, sorts, records, distributes and/or redirects incoming correspondence and reports. • Ensures the DVC is properly briefed and familiar with the agenda in advance of all meetings • Without any supervision undertakes to ensure that all matters requesting the DVC ‘s intervention as per the committee action list/s are executed timeously. • Communicates Executive Management decisions regarding academic related issues to HR, Deans and respective HoDs. • Sorts, records and distributes mail. • Organise meetings and provides relevant documentation timeously for meetings participants. • Screens visitors to DVC;s office. • Gathers and circulates information to relevant parties on behalf of the DVC in response to the action lists released by committee’s secretariat. • Gathers and prepares bled by the DVC at meetings. • Responds to a range of internal and external queries as required by the DVC. • Prepares confidential and sensitive documents as directed by the DVC. • Liaises with colleagues both internally and externally. • Collects institutional responses for consideration and analysis by DVC as required. • Provides telephonic support by screening/redirecting and/or responding to incoming calls. Takes messages and provides necessary information in response to queries as required. • Organises domestic and foreign travel/accommodation arrangements and forex for the DVC and other relevant staff. Prepares and keeps records of all travel vouchers in accordance with DUT procedures, • Organises functions as required.
