Responsibilities: · Co-ordinate and compilation of notes and record books for the 4th, 5th and 6th year students by collating information · Co-ordinates a variety of meetings · Arranges venues, catering times as required. · Arranges speakers · Sends out agendas and supporting documents for monthly departmental meeting. · Types minutes when necessary. · Performs a variety of general secretarial functions primarily to Head of the Department and also other members of the department if required to do so · Typing own correspondence · Ordering of stationery including that for Rank Xerox duplicating machine. · Arranging maintenance and repair of Rank Xerox and typewriters/computers. · Setting up audio visual material for students. · Liaising with the Faculty Registrar and Senior Administrative Officers regarding students related problems · Assist with student exams (organising, coordination and administrative functions) · Sending out ward report forms after block rotations, ensuring that the forms are returned, entering data on cards and referring any problems to Head of Department. · Organising the dispatch of all postal and airfreight parcels for the Department. · dealing with all supernumerary registrars queries and the HPCSA for necessary information · Typing and maintaining all progress reports and taking of minutes at all Selection Committee Meetings · Liaising with the necessary authorities to award CPD points, gathering necessary information maintain records pertaining thereto · Maintain departmental publication records responsible for posting reprints · Plan, Coordinate, maintain the HODs diary · Act as liaison for the Head with the GDoH, Wits, CMJAH Cluster community and all other stakeholders nationally and internationally. · Ensure the capturing and submission of research publications to the Faculty of Health Sciences Research Office for all Obstetrics and Gynaecology Wits affiliated entities · Assist with any Postgraduate programme activities, such as the submission of MMed protocols, as needed · Provide general administration support and record keeping to the Head of Department e.g. creating a filing system for different committee meetings, printing, scanning, etc. · Perform any other duties as defined by the HoD. Requirements: · Matric, Advantageous to have a degree. · Knowledge of and experience in University environment · 2 years administrative experience · Bookkeeping experience · Computer literate · Oracle system · Good communication skills
