Job Description

DUTIES AND FUNCTIONS: Managing the administrative support staff in the school -ensuring that all administrative activities in the School are properly performed – coordinate the activities of the full administrative team. Supporting the Head of School, in reviewing the regular/monthly Financial and IT reports prepared by the Bookkeeper and the IT Administrator respectively. Assist the Head of School and the Bookkeeper in drawing up budgets, allocating funds within the school, monitoring income and expenditure. Managing the academic administrative functions of the school ¨C This includes planning the academic activities in the school by preparing year planners, and administrative work schedules and (in conjunction with the head of school) the schools lecture and test timetable. Working with the Directors of the Architecture and the Planning Programmes to determine programme administrative needs. Student administration – managing and assisting UG and PG admin staff in the administration of undergraduate and postgraduate programmes, including student applications, registrations, queries, tests, examinations, field excursions, vacation work and submission of relevant documentation to the Faculty office. Responsible for day-to-day maintenance of the building – Interacting with PIMD and in consultation with the Heads of the Health and Safety, and Infrastructure committees. Participate in specified School Committees and perform all associated administrative tasks in support of the committee chairs; responsible for minuting meetings. QUALIFICATIONS AND Requirements: Matric. Bachelor’s degree or B Tech in an appropriate administrative discipline and relevant University experience is essential. Further qualifications in Human Resource Management, Finance, Bookkeeping, Administration, or System Management or similar is a strong advantage. It is preferable that the Applicant is competent and proficient in computer packages that are used in administrative tasks (MS Suite, MS Outlook, MS Teams, Zoom, etc.). At least 5 years relevant experience in administration within a University is essential.
