    Personal Assistant Job Purpose

    The Western Cape Department of Infrastructure seeks a highly skilled Personal Assistant to provide secretarial and administrative support to senior management. The role requires a proactive and professional individual capable of handling office administration, financial management, record keeping, and meeting coordination.

    Minimum Requirements

    To qualify for this Personal Assistant Job Opportunity at the Western Cape Department of Infrastructure, applicants must meet the following criteria:

    Education

    • A Grade 12 (Senior Certificate) or equivalent qualification
    • An accredited secretarial diploma and/or administrative qualification at NQF Level 5 or higher
    • Proof of completion of qualification is required

    Experience

    • Minimum of 3 years of experience providing support services to senior management or executives

    Recommendation

    • Willingness to work irregular hours when required
    • Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, etc.)
    • Excellent communication and organizational skills

    Key Responsibilities

    As a Personal Assistant in the Logistics and Movable Asset Management unit, you will be responsible for:

    Secretarial & Administrative Support

    • Managing the senior manager’s schedule, appointments, and travel arrangements
    • Handling correspondence, phone calls, and emails
    • Ensuring confidentiality of sensitive documents and discussions

    Meeting Coordination

    • Preparing meeting agendas, minutes, and follow-ups
    • Booking venues and organizing logistics for departmental meetings

    Financial & Budget Administration

    • Assisting with the manager’s budget administration
    • Managing procurement and payment processes within the department

    Records & Information Management

    • Maintaining accurate records and databases
    • Ensuring compliance with government regulations and policies

    Research & Analysis

    • Conducting research to assist management in decision-making
    • Analyzing documents and departmental prescripts to improve workflow

    Skills and Competencies

    The ideal candidate for this Personal Assistant Job Opportunity at the Western Cape Department of Infrastructure should have:

    Knowledge of:

    • Government legislation, policies, and procedures
    • Office administration and secretarial functions
    • Database and information management systems
    • Procurement processes and financial administration
    • Government budgeting systems such as GoFin/BAS and ECM/SharePoint

    Essential Skills:

    • Excellent written and verbal communication
    • Strong computer literacy (MS Office Suite)
    • Organizational and planning skills
    • Problem-solving and analytical thinking
    • Report writing and research skills
    • Good telephone etiquette and client liaison abilities

    Salary and Benefits

    Annual Salary: R308,154 (Salary Level 7)
