    Administrative Officer Job Overview

    • Position Title: Administrative Officer
    • Post Number: 8020012 (ITS S540) and 8021951 (ITS 541)
    • Faculty/Department: University of the Western Cape -> Law -> Dean’s Office: Law
    • Type of Position: Permanent – Full-Time
    • Location: Main Campus – Bellville, WC ZA (Primary)
    • Closing Date: 20/06/2025

    Role Clarification & Key Responsibilities

    The Administrative Officer will play a key role in supporting the Faculty Office’s administrative processes. Your role will be vital in ensuring alignment and compliance with central administrative systems and procedures, while also providing professional support to academics, students, and staff. Your day-to-day tasks will revolve around a variety of administrative duties, as outlined below:

    1. Academic Administration
      You will assist with a wide range of academic processes, such as:
      • Handling student applications and selections
      • Managing student registrations
        This will require attention to detail to ensure that all student data is properly managed and processed.
    2. Enquiry Management
      Respond to a variety of inquiries – whether verbal, written, or telephonic – from students, staff, and other stakeholders in the Faculty of Law. This role will require excellent communication skills and the ability to manage queries effectively and professionally.
    3. Marketing & Recruitment
      You will support the marketing and recruitment efforts of the Faculty, assisting with Open Days, career exhibitions, events, and other initiatives aimed at attracting new students. Your organizational skills will come in handy for the smooth execution of these events.
    4. Committee Administration
      As part of your administrative duties, you will assist with the preparation and administration of committee meetings. This includes:
      • Scheduling meetings
      • Collating relevant documentation
      • Securing meeting venues
    5. General Administration
      The role includes various general office administration tasks such as filing, copying, collating documents, and compiling statistics for annual and ad hoc reports. A methodical approach to organization will be key in ensuring everything runs smoothly.
    6. Assets Management
      You will assist in booking and securing venues for events, as well as ensuring the appropriate use and distribution of audio-visual equipment.
    7. Marks Administration
      The Administrative Officer will assist with checking and uploading marks to the student administration system, ensuring that academic records are accurate and up-to-date.
    8. Additional Administrative Support
      As the need arises, you will assist with HR and financial administration, adding to the variety of tasks and responsibilities.

    Minimum Requirements

    To be considered for the position, candidates must meet the following criteria:

    • A Senior Certificate (Grade 12)
    • Three years of relevant administrative experience
    • Working knowledge of UWC’s Student Administration systems (e.g., SASI, MAS)

    In addition to the minimum requirements, the following qualifications and experience will be advantageous:

    • An accredited post-matric qualification
    • Administrative experience in a Higher Education environment

    As an ideal candidate, you should possess the following skills and attributes:

    • Excellent Communication and Interpersonal Skills: The ability to communicate clearly and effectively with a range of stakeholders, including students, staff, and external parties.
    • Attention to Detail: Accuracy and precision are essential in this role, particularly when handling sensitive academic and student data.
    • Collaboration: You should be able to work well with others, contributing to the success of the Faculty by supporting different teams and departments.
    • Planning and Organizing Skills: The ability to manage multiple tasks and deadlines is crucial for success in this role.
    • Time Management: Balancing competing tasks and priorities requires excellent time management skills.
    • Computer Proficiency: An intermediate to expert understanding of office applications, such as Microsoft Word, Excel, and PowerPoint, is required.
    • Good Writing and Minute-Taking Skills: You should be able to document meetings, make reports, and communicate ideas clearly in writing.
    • High Stress Tolerance: The role demands the ability to work efficiently under pressure, especially during peak periods like registration or exams.
