    Financial Administrator Job Description

    The Financial Administrator: Salary Coding plays a pivotal role in ensuring that TUT runs smoothly by handling salary-related processes for its staff. From verifying source documents to ensuring salaries are processed correctly, this position ensures that employees are compensated on time and according to agreed-upon terms. This role directly impacts the employee experience and helps maintain a high standard of financial integrity at TUT.

    Accurate payroll administration also supports compliance with tax laws and employment regulations, making this position critical for the university’s financial health.

    Key Responsibilities

    The role of the Financial Administrator: Salary Coding is crucial for ensuring smooth salary transactions for all TUT employees. Below are the core duties the successful candidate will be expected to perform:

    1. Assessment of Source Documents:

    • Analyze and interpret information provided by the Human Resource department.
    • Ensure all documentation complies with established policies, rules, and regulations.
    • Verify calculations related to employment and termination, ensuring that these comply with salary scales and allowance tables.

    2. Implementation of Salary Transactions:

    • Implement changes in salaries, allowances, and deductions for employees.
    • Capture monthly or annual tax methods as required.
    • Handle statutory deductions and ensure compliance with legal and policy requirements.

    3. Execute Payments:

    • Prepare necessary documentation for salary payments.
    • Calculate salaries and compile electronic payment requests.
    • Compile journals and process rollback documents when necessary.

    4. Distribution of Payslips and IRP5s:

    • Ensure timely distribution of monthly payslips and IRP5s.
    • Retrieve, print, and email payslips to employees when necessary.

    5. Information Monitoring:

    • Maintain accurate filing and safekeeping of salary-related documents.
    • Ensure both internal and external compliance with filing procedures.

    6. Customer Service:

    • Respond to salary-related queries from staff and service providers.
    • Provide assistance and clarify issues related to employee compensation and deductions.

    Minimum Requirements

    To be considered for this position, candidates must meet the following qualifications:

    • Educational Background: A National Senior Certificate (Matric) with Mathematics or Accounting at NQF level 4 is required. A post-matric qualification in Finance or Accounting is an added advantage.
    • Experience: A minimum of three (3) years’ experience in a payroll environment.
    • Knowledge and Skills:
      • Solid understanding of payroll systems, particularly ITS Payroll.
      • Knowledge of tax regulations, salary rules, and departmental policies.
      • Proficiency in computer literacy (working knowledge of payroll software).
      • Strong communication, problem-solving, and organizational skills.
