Key Responsibilities
- Provide extensive administrative support to the Properties Executive, including managing queries, handling calls, and maintaining professional client interactions.
- Organize diaries, meetings, and travel itineraries, ensuring all necessary information is collated and prepared.
- Take accurate minutes during meetings and produce documents with attention to detail and accuracy.
- Distribute and circulate documents as required, ensuring completeness and adherence to protocols.
- Prepare presentations based on verbal or written instructions, incorporating value-added graphics as needed.
- Receive and acknowledge documents, ensuring proper logging and storage.
- Maintain a systematic filing system for efficient retrieval and storage of information.
- Perform general office and administrative duties to support the smooth operation of the Properties Department.
Minimum Requirements:
- Qualifications: Matric (Grade 12) with a Secretarial or Office Management qualification.
- Experience: Minimum of 5 years’ experience as a secretary, personal assistant, or office manager supporting senior management.
- Functional Competencies: Advanced proficiency in MS Office suite, including strong typing and transcription skills. Knowledge of basic financial principles and processes. Excellent verbal and written communication abilities. Ability to work independently with a high level of confidentiality and integrity. Strong attention to detail and organizational skills. Proficient interpersonal skills, diplomacy, and business etiquette. Excellent telephone etiquette. Customer service excellence. Valid code 08 Driver’s license.
