    Requirements

    • Education: Grade 12 or an equivalent qualification.
    • Computer Skills: Proficiency in MS Word, MS Excel, and other relevant applications.

    Key Responsibilities and Duties

    As an Administration Clerk, you will have a variety of tasks, ranging from general office duties to administrative support. Your day-to-day duties will include:

    1. General Clerical Support Services:
      • Record, organize, store, capture, and retrieve correspondence and data.
      • Update registers and statistics.
      • Handle routine inquiries.
      • Make photocopies and manage facsimiles.
      • Distribute documents to stakeholders.
      • Maintain the filing system for the department.
      • Type basic letters and correspondence when required.
      • Keep track of incoming and outgoing mail.
    2. Supply Chain Clerical Support Services:
      • Liaise with internal and external stakeholders regarding the procurement of goods and services.
      • Obtain quotations and complete procurement forms for office items.
      • Oversee the stock control of office stationery.
      • Maintain the asset register for the office.
    3. Personnel Administration Clerical Support:
      • Maintain the leave register for the office.
      • Keep and manage personnel records.
      • Oversee attendance registers.
      • Arrange travel and accommodation for employees.
    4. Financial Administration Support Services:
      • Capture and update expenditure.
      • Check subsistence and travel claims for correctness before submitting them for approval.
      • Handle telephone accounts and petty cash for the office.
