Requirements
- Qualification: Relevant post-matric qualification.
- Experience: Minimum of 2 years in a similar role; experience in archives and record management is advantageous.
Key Responsibilities:
- Filing System Management:
- Enhance and implement new filing systems as needed.
- Modify existing systems for improved efficiency.
- Document Handling:
- Retrieve information from files based on requests.
- Conduct regular inspections to ensure document placement, legibility, and condition.
- Place documents into appropriate storage according to classification.
- Scan and classify incoming documents for filing.
- File Tracking and Storage:
- Track documents removed from files to ensure their return.
- Prepare documents for offsite storage.
- Collect documents from various departments and employees.
- Office Duties:
- Perform general office tasks such as capturing applications and printing certificates.
- Operate office machines, sort mail, and post outgoing mail.
- Retrieve documents from microfile storage.
- Client and Query Management:
- Address and resolve registration queries efficiently.
