    Key Performance Areas

    As an HR Administrator at Nelson Mandela University, your role will involve a variety of tasks aimed at streamlining HR functions. The following are some of the key performance areas of the position:

    1. Data Categorisation and Capturing

    • Accurately categorize and capture employee-related data.
    • Identify and resolve issues related to document integrity, flagging discrepancies to the relevant stakeholders for resolution.
    • Ensure data is processed and captured in accordance with the university’s established standards and guidelines.

    2. Appointment of Employees

    • Create new employee profiles for newly appointed staff.
    • Generate new service records for current or former employees.
    • Assign relevant codes and load fund records into the employee profiles.

    3. Maintaining Employee Data

    • Keep employee profiles up-to-date, including accurate personal information and leave records.
    • Ensure that the employee data is consistently accurate and well-maintained throughout their employment at the university.

    4. Termination of Employment

    • Terminate employee service records upon resignation or termination of employment.
    • Manually calculate leave payouts and reconcile the service record for accuracy.
    • Reverse budget allocations for unused short-term contracts.
    • End fund codes from employee profiles and notify payroll of the employee termination.

    5. General Queries and Front-Line Support

    • Handle general inquiries from employees, line managers, and HR staff regarding HR processes and procedures.
    • Ensure all payroll data is processed according to the university’s business processes.
    • Provide front-line support in the HR reception area, answering phones, and disseminating important information to employees and visitors.

    6. Data and Trend Analysis

    • Identify and alert managers about relevant data trends that may need attention.
    • Assist in reviewing data for inconsistencies or deviations, ensuring compliance with university policies and legal requirements.

    7. Clerical Support

    • Provide administrative support including filing, letter writing, and file organisation.
    • Process reservations for the HR boardroom and other administrative tasks as needed.
    • Participate in monthly departmental meetings.

    8. Policy Compliance

    • Identify deviations from legislation and internal policy applications.
    • Work with the relevant stakeholders to take corrective actions and report non-compliance in a timely manner.
    • Ensure that the processes for leave and other benefits are accurately executed according to policy guidelines.

    Minimum Requirements

    • Educational Qualification: A Matric / Grade 12 certificate is essential.
