    Registry Clerks: Provisioning and Logistics (SCM) – Contract Position
    Reference Number: 2023/326
    Duration: 36 Months Contract
    Salary: R202 233 per annum
    Location: Cape Town Regional Office

    The Department of Public Works and Infrastructure is seeking qualified candidates for the position of Registry Clerks in the Provisioning and Logistics (SCM) division. This is a contract position lasting 36 months, based at the Cape Town Regional Office.

    Requirements:
    • Applicants should possess a Senior Certificate or equivalent qualifications.
    • Prior working experience in a registry environment is essential.
    • Familiarity with records and document management, mail, and courier service procedures.
    • Knowledge of relevant legislations including the National Archives Act 43 of 1996, the Records Service Act (NARSA), and the Promotion to Access Information Act (PAIA).
    • Computer literacy is recommended.
    • Strong customer care and client orientation skills.
    • Ability to work effectively under pressure and take initiative.
    • Excellent communication, organizing, and interpersonal skills.
    Duties:

    The selected candidates will be responsible for maintaining an organized filing system and managing records. Key duties include:

    • Managing the flow of files and records, including tracking and tracing.
    • Handling sensitive documentation and ensuring its proper management.
    • Providing administrative support to internal and external clients.
    • Managing the receipt and distribution of documents.
    • Verifying and registering invoices on the Reapatala System.
    • Handling the downloading and filing of Reapatala reports (both electronically and manually).
    • Uploading documents onto the Archibus system.
    • Postage and mailing of departmental documents to various destinations.
    • Providing courier services.
    • Performing other tasks as directed by the Supervisor, including general office duties.

    Switchboard Operator: Provisioning and Logistics

    Salary: R171 537 per annum
    Location: Cape Town Regional Office

    The Department of Public Works and Infrastructure is seeking a qualified candidate for the role of Switchboard Operator in the Provisioning and Logistics division.

    Requirements:
    • Applicants should hold a Senior Certificate or equivalent qualifications.
    • Relevant experience in switchboard and telecommunication services is essential.
    • Strong customer etiquette, active listening, and writing skills.
    • Friendly demeanour and excellent communication and interpersonal abilities.
    • Proficiency in computer applications, including Microsoft Word, Excel, Access, Outlook, and internet usage.
    • Ability to work effectively under pressure.
    • Knowledge of switchboard (telephone management) systems would be advantageous.
    • Computer literacy is essential.
    Duties:
    • The successful candidate will be responsible for efficiently managing the switchboard operations and providing essential support to the Provisioning and Logistics division. Key responsibilities include:
    • Handling incoming and outgoing calls on the switchboard.
    • Assisting technicians with the movement of telephone and fax lines, including escorting them through the building.
    • Certifying completed work by technicians during service calls.
    • Opening new telephone lines and managing faulty lines and telephone handsets before logging service calls.
    • Ensuring timely payment of invoices for services rendered by technicians.
    • Arranging telephone instruments for new employees.
    • Capturing monthly telephone data on Excel spreadsheets.
    • Downloading monthly telephone bills for department officials.
    • Distributing or sending telephone bills to staff members.
    • Ensuring all telecommunication accounts are kept up to date.
    • Maintaining individual files for staff members.
    • Reporting faults to the appointed service provider for information services.
    • Performing other tasks as required by the unit.

    Supervisor: Cleaning Services – Multiple Posts

    Locations: Cape Town Regional Office (1 Post) and Oudtshoorn (1 Post)

    The Department of Public Works and Infrastructure is seeking qualified candidates for the position of Supervisor in the Cleaning Services division. This vacancy entails two positions, with one based at the Cape Town Regional Office and the other at Oudtshoorn.

    Requirements:
    • Applicants should possess a Standard 8/Grade 10 or equivalent qualification.
    • Relevant experience in cleaning services.
    • Strong interpersonal skills and effective communication abilities.
    • Numeracy skills for routine tasks and collaboration with staff at different levels.
    • Knowledge of cleaning materials and equipment usage will be advantageous.
    • Flexibility to adapt work schedules as per office requirements.
    Duties:

    The selected candidates will be responsible for supervising and managing cleaning staff, ensuring efficient day-to-day cleaning operations, and maintaining a clean and organised environment. Key duties include:

    • Overseeing and directing cleaning staff to ensure high-quality service.
    • Managing and controlling cleaning equipment and materials.
    • Supervising the provision of housekeeping, cleaning, safeguarding, and maintenance services.
    • Performing administrative tasks related to housekeeping and cleaning services.
    • Monitoring compliance with instructions regarding material and equipment usage and storage.
    • Conducting physical inspections of cleaned areas to ensure standards are met.
    • Reviewing employees’ performance and providing feedback.
    • Monitoring the condition and availability of equipment.
    • Inspecting logistics and the physical environment to maintain a clean and safe atmosphere in adherence to Occupational Health & Safety (OHS) standards.

    Tradesman Aid: Workshop

    Salary: R147 036 per annum
    Location: Cape Town Regional Office

    The Department of Public Works and Infrastructure is seeking candidates for the role of Tradesman Aid in the Workshop division.

    Requirements:
    • Applicants should hold a Grade 10/Standard 8 qualification.
    • Relevant workshop experience in Electrical, Carpentry, or Building.
    • Familiarity with the operation of equipment, workshop tools, and machinery.
    • Good communication skills and the ability to report effectively.
    • Knowledge of the Occupational Health and Safety Act 85 of 1993.
    • Possession of a valid driver’s license will be considered an added advantage.
    Duties:

    The selected candidate will work alongside artisans, contributing to repair and maintenance work in government buildings, including remote locations such as Other Islands (Marion, Gough & ANTARCTICA). Key responsibilities include:

    • Caring for hand tools, machines, and electric tools.
    • Performing minor repair and maintenance work.
    • Identifying maintenance and repair needs.
    • Carrying, loading, and off-loading tools and materials.
    • Inspecting and checking for faults requiring repairs and maintenance.
    • Ensuring proper housekeeping of the workshop and plant rooms to comply with the Occupational Health and Safety Act 85 of 1993.
    • Climbing ladders for inspections, working in confined spaces, and performing maintenance on government buildings.

    The Department of Public Works and Infrastructure is seeking candidates for the role of Messenger in the Workshop division.

    Requirements:
    • Applicants should possess a Senior Certificate/Grade 12 and have relevant messenger experience.
    • A valid Driver’s License with PDP (Public Driver’s Permit).
    • Effective communication skills, both verbal and written.
    • Strong time management and work process planning abilities.
    • Capability to establish and maintain positive working relationships with colleagues, staff, and external clients.
    • Proficiency in working effectively within a professional team environment.
    • Familiarity with the Occupational Health and Safety Act (OHSA) 85 of 1993.
    Duties:

    The successful candidate will be responsible for various messenger duties within the Workshop division. Key responsibilities include:

    • Collecting and distributing circulars, correspondence, packages, files, and documents.
    • Collecting and delivering mail to and from the Post Office.
    • Sorting and distributing mail to departmental officials and external clients.
    • Collecting and distributing mail to and from other departments and external clients, obtaining signatures from recipients.
    • Ensuring timely collection of all mails, documents, and parcels from the Registry as per the schedule.
    • Walking frequently as part of the role’s demands.
    • Demonstrating reliability, self-discipline, and a sense of ownership in executing tasks.
    • Attending to administrative duties as directed by the supervisor.
