Requirements
- National Senior Certificate (or equivalent).
- Knowledge: Knowledge of administration duties and practices as well as the ability to capture data, operate a computer and collect information;
- Knowledge and understanding of the legislative framework governing the Public Service;
- Knowledge of working procedures in terms of the working environment.
- Skills: Numeracy, literacy, typing, computer literacy, language skills;
- Attention to detail (accuracy), Planning and organisation;
- Good verbal and written communication;
- Budgeting and finance;
- Flexibility and teamwork.
Duties
- Render course administration and logistical support for programme delivery: Logistical and secretarial support for meetings, workshops and functions;
- Booking of venues;
- Arranging for catering;
- Follow up and confirm course attendance;
- Liaise with stakeholders;
- Prepare meeting packs and material;
- Setting up of venues/ Set up of participant profiles/Share links;
- Liaising with schools to host training sessions;
- Arrange for welcoming and thanking facilitators;
- Set up and prepare training venues;
- Handle course registration: online course registration; prepare registration tables, signage etc.
- Arrange travelling and accommodation;
- Administer subsistence and travel (S&T) claims.
- Provide general clerical support services: Record, organise, store, capture and retrieve correspondence and data;
- Update registers and databases;
- Handle routine enquiries;
- Make photocopies;
- Distribute documents/packages to various stakeholders as required;
- Keep and maintain the filing system for the component: Filing of documents;
- Record keeping.
- Type letters and/or other correspondence when required: Compile letters.
- Keep and maintain the incoming and outgoing document register of the component: Capture and update the IMS system for submissions and circulars;
- IMS number generation;
- Route submissions/circulars/documents;
- Track documents and submissions and correspondence.
- Provide supply chain clerical support services: Capture and update expenditure;
- Keep record of budget allocation;
- Check the correctness of subsistence and travel claims of officials and submit them for approval.
