    The University of Zululand (UNIZULU) is a reputable institution deeply committed to the principles of employment equity, in alignment with South Africa’s Employment Equity Act. They are currently seeking a qualified and diligent individual to fill the position of Administrator: Certification. This role, located at UNIZULU’s main campus, is an opportunity to be part of the university’s dedicated team responsible for overseeing certification and graduation processes.


    The successful candidate will manage essential administrative tasks that directly impact the academic journey of both undergraduate and postgraduate students.

    Key Responsibilities

    The Administrator: Certification will be tasked with managing the certification and graduation processes for all UNIZULU students, ensuring adherence to established guidelines and protocols. Key responsibilities include:

    1. Certification and Graduation Process Administration: The administrator will handle the certification needs of students, verifying qualifications, and maintaining accurate records. This includes facilitating the replacement of lost certificates.
    2. Communication and Stakeholder Interface: Serving as a bridge between the university and key stakeholders, this role requires effective communication to manage inquiries and provide updates on certification and graduation processes.
    3. Reporting: Generating reports on certification and graduation metrics, and other related data will be essential.
    4. Graduation Support: The administrator will play an active role in the planning and support of graduation ceremonies, an important milestone for every UNIZULU student.
    5. Office Administration: General administrative duties are part of the day-to-day responsibilities, ensuring that all documentation and processes related to certification and graduation run smoothly.

    Minimum Requirements

    To be considered for this role, candidates must meet the following minimum qualifications:

    • Educational Qualifications: A National Diploma in Office Administration or an equivalent qualification is essential.
    • Professional Experience: At least three years of experience in an administrative role, ideally within a Higher Education setting.

    Additional preferred qualifications include a Bachelor’s Degree in Administration or a closely related field, which would provide an added advantage.

    Specialized Knowledge and Skills

    Candidates applying for this role should possess:

    • Knowledge of Certification Processes: Familiarity with certification processes within the higher education environment.
    • Experience with ITS Student System: Proficiency in using the ITS Student System is highly desirable, as this system is integral to the administration of student records.

    Skills:

    • Communication Skills: Effective verbal and written communication skills, with the ability to engage with individuals across all levels of the institution.
    • Computer Literacy: Strong computer literacy skills, essential for managing records and generating reports.

    Behavioral Attributes:

    • Attention to Detail: The administrator must be detail-oriented to ensure accuracy in certification and graduation records.
    • Teamwork: A collaborative approach is essential, as this role involves interacting with different teams within the university.
    • Quality and Service Orientation: A commitment to providing high-quality service is crucial.
    • Accountability: The ability to take ownership of tasks and follow through on responsibilities.
    • Relationship Management: Skilled at building and maintaining professional relationships within the university environment.
    • Results-Driven: The candidate should be focused on achieving key performance metrics within the role.
