    The North West Department of Public Works and Roads is looking for a suitable candidate for the Records Management Intern position.


    The internship at the North West Department of Public Works and Roads is designed for unemployed graduates who hold a diploma or degree, or N6 certificate from TVET Colleges. This two-year program is not only a stepping stone into the public service but also a chance to gain practical experience necessary for completing academic studies and advancing a career in public service.

    North West Department of Public Works and Roads  Internships Details

    • Stipend: R7 043.31 per month

    Requirements:

    • Grade 12 Certificate plus minimum National Diploma/Bachelor Degree in Archive or Records Management
    • Strong organisational skills and attention to detail.
    • Proficiency in computer applications, including word processing, spreadsheets, and database software.
    • Ability to learn and adapt to new technologies related to records management.
    • Excellent communication and interpersonal skills.
    • Understanding of basic record-keeping principles.

    Responsibilities:

    • Document Processing and Scanning: Assisting with the intake of physical documents (e.g., construction plans, permits, road maintenance reports) and converting them into digital formats using scanners and document management software.
    • Data Entry and Indexing: Entering relevant data from scanned documents into the department’s electronic records management system (ERMS). This may involve assigning keywords and categorising documents for easy retrieval.
    • Filing and Archiving: Assisting with the physical filing of original documents according to departmental guidelines or electronic archiving procedures within the ERMS.
    • Retrieval and Distribution: Responding to requests for public records or internal document retrieval from colleagues within the department. This may involve searching the ERMS and providing electronic copies or locating physical documents.
    • Maintaining Filing Systems: Helping to keep the department’s filing systems, both physical and electronic, organized and up-to-date. This could involve tasks like weeding out old documents or updating filing structures within the ERMS.
    • Learning Regulations and Procedures: Familiarising yourself with departmental record-keeping policies, data privacy regulations, and public access to information laws.
    • Research and Project Assistance: Assisting with research projects related to the department’s records or participating in ongoing initiatives to improve the department’s records management practices.
