    Personal Assistant Job Purpose

    The main purpose of this role is to provide comprehensive secretarial support to the Western Cape Police Ombudsman. The successful candidate will assist the Ombudsman in managing their office and ensuring effective communication, organization, and administrative functions. The role is a critical part of the Ombudsman’s efforts in the Police Oversight and Community Safety division, ensuring that operations run smoothly and efficiently.

    Minimum Requirements

    To qualify for this role, candidates need to meet the following minimum requirements:

    • Education: Grade 12 (Senior Certificate) or equivalent qualification.
    • Qualification: An accredited secretarial diploma and/or an administrative qualification at NQF Level 5 or a relevant higher tertiary qualification. A certificate of completion should be provided.
    • Experience: At least 3 years of experience in providing support services to management or senior management.
    • License: A valid Code B or higher driving license. Note: Candidates with disabilities that restrict driving abilities but have reasonable access to transport may also apply.

    Additionally, candidates with proficiency in technology and IT systems are recommended, as this will be crucial in performing administrative tasks efficiently.

    Key Responsibilities

    The Personal Assistant will be responsible for a variety of tasks, including:

    1. Secretarial/Receptionist Support:
      Provide secretarial services to the Ombudsman, including answering calls, scheduling appointments, and maintaining communication channels.
    2. Administrative Support:
      Provide administrative services, such as drafting documents, managing schedules, and coordinating meetings for the Ombudsman.
    3. General Office Support:
      Support the Ombudsman’s office in its daily functions, ensuring smooth operations by organizing files, maintaining records, and handling office correspondence.
    4. Ad Hoc Duties:
      Assist with various duties as required, which may involve tasks outside of the usual scope of work.
    5. Policy and Regulations Understanding:
      Study and understand relevant public service and departmental policies, regulations, and procedures. Ensure that these are properly applied in daily tasks and interactions.

    • Knowledge and Understanding:
      • Regulations, policies, and procedures related to administrative and office management.
      • Technology and IT systems for managing office tasks.
    • Skills:
      • Proficiency in computer literacy.
      • Excellent verbal and written communication skills.
      • Strong organizational skills.
      • Good people skills, with the ability to interact with individuals from diverse backgrounds.
      • Excellent telephone etiquette.
      • Self-management and the ability to act with tact and discretion.
      • Ability to analyze documents and situations effectively.
    • Additional Qualities:
      • Good grooming and presentation.
      • Basic knowledge of financial administration.

    Remuneration and Benefits

    The Personal Assistant position offers an annual salary ranging from R 308,154 to R 362,994, depending on experience and qualifications (Salary Level 7). In addition to the base salary, employees are eligible for service benefits such as medical assistance, housing assistance, and pension fund contributions, in accordance with applicable prescripts or collective agreements.
