The Division for Learning and Teaching Enhancement (DLTE) plays a critical role in Stellenbosch University’s academic environment. Key Responsibilities
As the Personal Assistant to the Senior Director, your primary role will be to provide administrative and organizational support to ensure the division’s daily operations run efficiently. Your responsibilities will include:
Administrative Support
- Managing the Senior Director’s diary, scheduling meetings, and coordinating appointments
- Handling reception duties and providing administrative support to the team
- Assisting in drafting, formatting, and compiling documents, reports, and presentations
- Maintaining accurate digital databases for records and correspondence
Meeting and Event Coordination
- Preparing meeting agendas, taking minutes, and tracking action points
- Organizing logistics for conferences, workshops, and events
- Ensuring travel, transport, and accommodation arrangements are efficiently handled for the Senior Director
- Managing timely registrations for relevant events and conferences
Financial and Office Administration
- Assisting with financial administration, including purchase orders, SUNFin payments, and budget reporting
- Coordinating with internal and external service providers to support office functions
- Handling confidential inquiries and correspondence independently
This role requires multitasking skills, discretion, and a proactive approach to daily tasks.
Required Qualifications and Skills
To qualify for this position, candidates must meet the following criteria:
Educational Qualifications
- A minimum of an NQF Level 6 qualification in administration or secretarial studies
Experience
- At least five years of relevant administrative experience at a managerial level
- Experience in financial administration and working with office software (Microsoft Office Suite)
Key Competencies
- Strong verbal and written communication skills in English and at least one other official South African language
- Ability to work under pressure while maintaining accuracy and efficiency
- Excellent time management and organizational skills
- Strong ability to build and maintain relationships with various stakeholders
- Knowledge of Stellenbosch University’s administrative and financial systems is an advantage
Preferred (Recommended) Experience
Although not mandatory, the following experience will be an added advantage:
- Previous experience working in a higher education environment
- Knowledge of project management principles and experience in a project-driven role
- Familiarity with Stellenbosch University’s administrative and financial systems
