    About ICASA

    The Independent Communications Authority of South Africa (ICASA) is a pivotal institution in South Africa, responsible for regulating the communications, broadcasting, and postal sectors in the public interest. Located at 350 Witch-hazel Avenue, Eco Point Office Park in Centurion, ICASA plays a crucial role in ensuring that the South African public has access to a wide range of communications services, from telecommunications to broadcasting. They are currently seeking a qualified and motivated individual to join their team as a Secretariat Officer at their Head Office in Centurion.

    Purpose of the Secretariat Officer Job

    The Secretariat Officer will be responsible for coordinating the flow of tasks and assignments between the Office of the Chairperson, CEO, Councillors, Executive Management, and external governance committees. This role is integral to ensuring smooth and efficient operations within the organization’s top leadership and governance structures.

    Responsibilities

    As a Secretariat Officer, you will report directly to the Corporate Secretary. Your primary responsibilities will include:

    • Taking Minutes: Accurately recording the proceedings of meetings, ensuring that all key decisions and discussions are documented.
    • Compiling Meeting Document Packs: Preparing and organizing all necessary documents for meetings, ensuring that participants have all required information in advance.
    • Drafting and Recording Resolutions: Ensuring that all resolutions passed during meetings are correctly drafted, recorded, and communicated to relevant stakeholders.
    • Coordinating Activity Schedules and Work Plans: Managing and coordinating schedules and work plans for the Office of the Chairperson, CEO, Councillors, and Executive Management to ensure efficient workflow.
    • Managing Documentation and Records: Maintaining organized and up-to-date records of all documentation related to the activities of the governance bodies.

    Requirements

    To be considered for the Secretariat Officer position, you must meet the following qualifications and experience requirements:

    • National Diploma in Administration/Law (NQF6): This is the minimum educational requirement.
    • Bachelor’s Degree in Administration or Law (LLB): This qualification will be an added advantage, making you a stronger candidate.
    • Minimum of 3 Years Secretariat Experience at Executive or Board Level: Proven experience in a similar role is essential.
    • Office Management: Experience in managing office operations effectively.
    • Computer Literacy: Proficiency in using computer software, particularly in preparing documents and managing schedules.
    • Affiliate Membership of the Chartered Governance Institute of South Africa: This is an added advantage that will set you apart from other candidates.
