    Administrative Assistant Job Description

    CHP is seeking an enthusiastic Administrative Assistant who is eager to contribute to a dynamic team. This position is ideal for someone who wants to grow in the field of administration and finance, offering a 2-year contract with significant opportunities for skill development. The successful candidate will receive induction and essential training in WITS software systems, including ORACLE I-Proc & Project Modules.

    Responsibilities

    As an Administrative Assistant, your role will involve supporting the administrative and financial teams of the Centre for Health Policy. The responsibilities will help you gain hands-on experience in both financial and general administrative tasks, crucial for any future career in the sector.

    Key responsibilities include:

    • Assisting Administrative and Finance Teams: You will be expected to help with day-to-day operations and administrative tasks, ensuring smooth office functions.
    • Procurement: Facilitating the purchasing process for office supplies, equipment, and services.
    • Publications Input: Maintaining and updating the WITS publication site with relevant data.
    • Website Maintenance: Ensuring the CHP website is up-to-date with current information.
    • Meeting Room Preparation: Arranging refreshments and necessary equipment for meetings.
    • Supply Management: Keeping track of office supplies like groceries and stationery.
    • Deliveries and Collections: Managing logistics related to deliveries and collections.
    • General Office Support: This includes photocopying, filing, and data capturing.
    • Asset and Equipment Maintenance: Managing and updating equipment and asset registers.
    • Data Entry and Management: Capturing and maintaining data accurately for various projects.
    • Payment Requests and Payroll: Preparing internal requisitions, payroll claims, and payment requests.
    • Student Administration: Assisting with student-related administrative tasks, ensuring smooth coordination and record keeping.

    Requirements

    To apply for this Administrative Assistant vacancy, candidates need to meet the following minimum requirements:

    • Matric Certificate: A matric qualification is essential for this role.
    • Further Education: Currently studying or planning to pursue a post-school qualification, preferably in administration or finance.
    • Basic Computer Skills: Proficiency in Microsoft Office applications like Word, Excel, and PowerPoint.
    • Driver’s License: Candidates must hold a valid driver’s license with at least three years of driving experience.
    • Work Experience: Any prior administrative or financial work experience will be a plus but is not mandatory.
