About the Administrative Officer Role

The Administrative Officer will play a pivotal role in ensuring the smooth operation of the Department of Obstetrics and Gynaecology. The successful candidate will report directly to the Head of Department (HOD) and will be responsible for both academic and administrative support functions.

Key Responsibilities

As an Administrative Officer, you will be entrusted with a variety of tasks that are crucial for the department’s daily operations. These include:

  1. Class Management:
    • Compiling and maintaining class lists.
    • Monitoring student movement and updating staff with the latest information.
  2. Programme Coordination:
    • Ensuring the smooth running of academic programmes.
    • Coordinating the accommodation and venues for lecturers.
  3. Academic Administration:
    • Inputting undergraduate assessment marks into the ITS system.
    • Preparing management reports.
    • Conducting student registration and monitoring their performance.
  4. Record Management:
    • Administering student records and files.
    • Ensuring quality assurance for official university results.
  5. Student Support:
    • Attending to student queries and concerns.
    • Providing administrative support for student exam reports and exemptions.
  6. Contribution to SMU Development:
    • Actively participating in the improvement of institutional culture.
    • Taking on additional duties as assigned by the HOD.

Qualifications and Requirements

To be considered for this role, applicants must meet the following criteria:

  • Educational Background:
    • Matric/Grade 12.
    • A three-year diploma or degree in Office Management, Office Administration, or Records Management and Archiving.
  • Experience:
    • At least three years of relevant experience in office or committee administration.
    • Proficiency in using the ITS system for student assessment marks.
    • Experience in compiling agendas, recording minutes, and managing action lists.
  • Technical Skills:
    • Computer literacy (Ms Word, Excel, PowerPoint, Internet, Email).
    • Experience with online platforms such as Blackboard Collaborate, Zoom, and Microsoft Teams.
