    Executive Secretary Job Purpose

    The main purpose of this role is to provide general secretarial and administrative support to the office of the Whip, ensuring the office operates efficiently to meet Council objectives. Your role will be crucial in coordinating office activities and supporting the Whip in their responsibilities to the Greater Tzaneen community.

    Key Responsibilities

    As the Executive Secretary, you will handle various essential functions within the office. Key performance areas include:

    • Reception Management: Handle all front-office duties, from welcoming visitors to managing inquiries, ensuring a professional and friendly first impression.
    • General Office Administration: Oversee day-to-day office operations, including organizing documents, maintaining records, and ensuring a well-ordered workspace.
    • Correspondence Management: Administer both internal and external communications to ensure messages are delivered efficiently and professionally.
    • Meeting Coordination: Organize and arrange logistics for meetings, including booking venues, preparing meeting agendas, and distributing necessary documentation.
    • Secretarial Typing Functions: Manage typing tasks, such as drafting correspondence, preparing reports, and handling other document preparation duties as needed.

    Requirements

    • Education: A minimum Grade 12 qualification.
    • Certification: Certificate in Office Management or a relevant qualification.
    • Experience: At least one (1) year of relevant experience in a similar secretarial or administrative role.
