    The Department of Defence is currently accepting applications for the position of Senior Administrative Officer. This is an excellent opportunity for individuals with the required qualifications and experience to contribute to the efficient functioning of the Defence Force Service Commission (DFSC).     Senior Administrative Officer Position Details

    Position: Senior Administrative Officer

    Reference Number: DHRCM/16/18/23/01

    Salary: R359,517 per annum (Level 08)

    Location: DFSC Office, Kasteel Park, Erasmuskloof, Pretoria

    Requirements

    To be eligible for this position, applicants must meet the following requirements:

    • Grade 12 and NQF L5/6 (Higher Certificate/Diploma)
    • Minimum of two (2) to three (3) years’ relevant experience
    • Special Requirements: Communication (verbal & written), Analytical, Planning and Organisation, Computer (MS Word and MS Excel)
    • Ability to interpret and apply policies and prescripts
    • Knowledge of the PERSOL mainframe system
    • Sound knowledge of personnel acquisition and staffing guidelines

    Duties

    As a Senior Administrative Officer, your core functions will include:

    1. Assisting and coordinating the staffing processes and procedures for the DFSC.
    2. Coordinating the probation processes of newly appointed employees within the DFSC Secretariat.
    3. Coordinating the nomination of courses, symposia, and seminars for the DFSC.
    4. Providing secretarial functions to the ETD Board and coordinating the processing of applications.
    5. Ensuring maintenance of personal files and personal documents for all employees of the DFSC (Secretariat and Commissioners).
    6. Updating personal information on PERSOL.
    7. Coordinating and processing leave applications of all employees in the DFSC.
    8. Ensuring effective administration and processing of appointments of new employees and Commissioners.
    9. Providing HR administration services to the Commissioners, including salary administration, S&T administration, and maintaining a list of attendance registers.
    10. Coordinating and facilitating compensatory allowances for DFSC employees.
    11. Providing HR administrative services for all new appointees in the DFSC.
    12. Administering and coordinating attachments and detachments to and from the DFSC.
    13. Administering the termination of service for DFSC employees.
    14. Ensuring effective pension administration for all officials within the DFSC.
    15. Completing and monitoring the work attendance register.
    16. Ensuring the completion of monthly schedule name lists with relevant transactions by capturing schedules and non-confirmation on PERSOL in time.
    17. Ensuring the effective management of HR processes for the DFSC.
    18. Facilitating the capturing of HR transactions on PERSOL.

Ensure that your application form is originally signed and dated and accompanied by a detailed CV, including full particulars of your training, qualifications, competencies, knowledge, and experience. Please note that applications received after the closing date of 02 June 2023 or faxed copies will not be considered.

    Shortlisted candidates will be required to submit certified copies of qualifications and other related documents on or before the day of the interview, provided they are not older than six months. Failure to comply with these instructions will result in disqualification. If you are applying for more than one post, submit a separate Z83 form and supporting documentation for each position.

     

    Selection Process and Contact Details

    The successful candidates will be subjected to Personnel Suitability Checks, including criminal record, citizenship, financial/asset record checks, and qualification and employment verification. Additionally, they will undergo security clearance processes. Candidates who do not receive confirmation or feedback within three months after the closing date should consider their application unsuccessful. Due to the anticipated high volume of responses, the Department will not acknowledge the receipt of applications, and correspondence will be limited to shortlisted candidates only.
