    Purpose of the Personal Assistant Role

    The Personal Assistant will provide essential secretarial and administrative support services to senior management. This includes organizing meetings, handling records, managing budgets, and supporting departmental processes to ensure smooth operations.

    This role is particularly crucial in supporting Red Tape Reduction initiatives, which aim to simplify administrative processes and improve service delivery for businesses and individuals in the Western Cape.

    Minimum Requirements

    To qualify, applicants must meet the following:

    1. Education:
      • Grade 12 (Senior Certificate) or equivalent qualification.
      • An accredited Secretarial Diploma or Administrative Qualification at NQF Level 5 or higher.
      • Certificate of completion for qualifications must be provided.
    2. Experience:
      • At least 3 years of experience in secretarial or administrative support roles, specifically supporting management or senior management.
    3. Recommendations:
      • Strong experience in systems, data, and reporting across various stakeholders.

    Key Performance Areas

    As a Personal Assistant, your responsibilities will include:

    1. Administrative Support Services:
      • Maintain efficient record management systems.
      • Handle procurement of goods and services.
    2. Secretarial and Receptionist Duties:
      • Manage communication on behalf of the manager.
      • Handle incoming and outgoing correspondence.
    3. Meeting Support:
      • Prepare agendas and documents for meetings.
      • Record and distribute minutes.
    4. Budget Administration:
      • Assist the manager in managing their budget.
    5. Policy Compliance:
      • Study relevant public service policies and departmental prescripts to ensure compliance.

    Key Competencies and Skills

    To succeed in this role, you will need:

    • Knowledge:
      • Relevant legislation, policies, and procedures.
      • Basic financial administration.
      • Advanced software knowledge, including MS Office.
    • Skills:
      • Computer Literacy: Proficient in MS Office.
      • Communication: Excellent verbal and written skills.
      • Research and Analysis: Ability to interpret and analyze documents.
      • Judgment and Decision-Making: Make sound decisions under pressure.
    • Personal Traits:
      • Ability to work efficiently under pressure.
      • Strong organizational skills.

    Remuneration and Benefits

    This position is classified under Salary Level 7, offering a remuneration package of R308,154 per annum. Additional service benefits may include:
