    Administrator Job Description

    As the Administrator for Events Management (JHB North), you’ll provide comprehensive administrative support, manage records, assist with meeting preparations, and maintain compliance with the organization’s policies and procedures. This position requires someone who can handle both general and specific tasks independently, has a knack for keeping track of details, and is a natural at managing communication and meeting logistics.

    Key Responsibilities

    This role involves two main areas: General Administrative Support and Support for Unit Optimization.

    General Administrative Support for the Section

    The Administrator plays a vital role in supporting the Events Management Unit with efficient organization and communication. Here’s what this will entail:

    • Administrative Efficiency: Organize the day-to-day operations to maintain smooth workflow within the unit.
    • Communication Handling: Respond to enquiries from internal and external clients, ensuring information is clearly and timely shared.
    • Record-Keeping and Compliance: Maintain accurate records, monitor policies, and ensure adherence to all company regulations.
    • Secretarial Duties: Perform general secretarial work including typing, phone calls, scheduling, and setting up appointments.
    • Meeting Support: Arrange meetings, take minutes, compile agendas, and collate all meeting minutes.
    • Stakeholder Communication: Notify stakeholders promptly about changes to meetings, ensuring everyone stays updated.
    • Meeting Logistics: Independently manage meeting logistics, including confirming attendance and arranging resources.
    • Outcome Follow-Up: Track and follow up on meeting action points to ensure successful implementation.
    • Information Distribution: Share relevant information with all stakeholders to maintain alignment within the team.
    • Data Capture: Accurately capture and manage data for the business unit’s records.

    Support for Unit Optimization

    The role goes beyond administrative tasks and requires you to take an active part in the optimization of the unit’s workflows and reporting needs. Your responsibilities will include:

    • Day-to-Day Task Management: Assist with routine tasks related to achieving the unit’s objectives and work plans.
    • Data Collection for POP Indicators: Collect and organize data required to measure performance indicators for POP within the unit.
    • Survey Tracking: Keep track of survey returns and maintain records.
    • Report Compilation: Compile and submit reports on time, ensuring accuracy and compliance with required formats.

    Requirements

    To qualify for this position, candidates must meet the following requirements:

    • Educational Requirements:
      • A National Senior Certificate (NQF 4 level) is the minimum qualification.
      • A National Diploma (NQF 6) in Marketing, Public Relations, Communications, or a related field is essential.
    • Experience:
      • Minimum of 1 year of experience in an administration role or a similar position.
    • Core Skills:
      • Organizational Skills: Strong organizational skills for managing various tasks and responsibilities.
      • Attention to Detail: Precision in managing records, scheduling, and communications.
      • Communication Skills: Effective verbal and written communication for handling client and internal enquiries.
      • Computer Proficiency: Good command of office productivity tools like Microsoft Office (Word, Excel, Outlook) for typing, record-keeping, and reporting.
