Key Responsibilities

The Filing Clerk will play a vital role in maintaining systematic organization and compliance with Good Clinical Practice (GCP) standards for study-related activities. Your daily responsibilities will include:

  1. File Preparation and Management:
    • Compile visit packs for participants’ folders/files.
    • Ensure visit packs are accurate and up-to-date.
    • Issue and collect participant files as per the study schedule.
  2. Recordkeeping:
    • Maintain proper filing of folders for each clinical trial.
    • Archive old participant records and resolve filing queries.
    • File laboratory results appropriately after data capture.
  3. Administrative Support:
    • Photocopy, fax, and shred documents as required.
    • Assist the Principal Investigator or designee in data updates, including laboratory results, adverse events, and concomitant medications.
  4. Compliance and Coordination:
    • Work closely with Study Coordinators to ensure files are prepared for interim and unscheduled visits.
    • Liaise with Data Administrators to hand over files for daily operations.

Essential Requirements

Candidates must meet the following minimum requirements:

  • Education: Grade 12 / NQF level 4
  • Experience:
    • 1–2 years in clinical trials (essential)
    • Previous filing experience (essential)
  • Skills:
    • Proficient in MS Office (Word, Excel, Outlook)
    • Excellent organizational and time management abilities
    • Strong interpersonal and attention-to-detail skills
  • Advantageous: Tertiary qualification in administration
