    About the Road Accident Fund (RAF)

    The Road Accident Fund (RAF) is an essential public institution in South Africa with a mission to provide financial compensation and rehabilitation to individuals injured in motor vehicle accidents. RAF is dedicated to promoting safer roads and ensuring that those impacted by road accidents receive timely and compassionate support. As part of their commitment to delivering efficient legal services, RAF is currently seeking a Legal Secretary to support the Magistrate Court division.

    Purpose of the Role

    The Legal Secretary will play a crucial role in ensuring the smooth day-to-day functioning of the Legal Service Department. The selected candidate will be responsible for providing administrative and legal secretarial support, ensuring adherence to internal processes, managing documentation, and assisting with legal research. This role is an excellent opportunity for a detail-oriented, organized individual with a legal background.

    Key Performance Areas

    1. Legal Secretarial Administration

    • Prepare necessary court statements and forms required by attorneys in court.
    • Transcribe audio files and written notes from attorneys.
    • Proofread and index legal documents, ensuring accuracy and compliance.
    • Manage pleading and discovery binders, keeping them updated.
    • Handle the collection and delivery of legal documents.
    • Assist with legal research and communicate with relevant stakeholders, including attorneys, opposing counsel, and vendors.

    2. Standard Process and Procedure Maintenance

    • Ensure that all tasks align with RAF’s internal standards and contribute to achieving business goals.
    • Provide support to the strategy and reporting office, ensuring that all activities comply with RAF policies and procedures.
    • Maintain and update written documentation and policies related to legal and business operations.

    3. Office Management

    • Provide general administrative support, including managing correspondence, answering telephonic queries, and filing.
    • Maintain strict confidentiality on all matters within the office.
    • Follow up on outstanding matters to ensure they are resolved within set timelines.
    • Ensure that office supplies, such as stationery, are available at all times.

    4. Meeting and Diary Management

    • Arrange meetings on behalf of the Legal Services department and distribute minutes according to governance standards.
    • Ensure that meeting resolutions are followed up and that action items are completed.
    • Manage diaries for internal and external stakeholders, scheduling appointments as needed.

    5. Document Control

    • Maintain an up-to-date and functional filing system for the Legal Services department.
    • Ensure that information is readily retrievable as needed.
    • Protect the confidentiality of sensitive documents and ensure they reach the intended recipients.
    • Acknowledge receipt of documentation, allocate file numbers, record data, and file documents appropriately.

    Qualifications and Experience

    To qualify for this role, applicants should have the following:

    • A National Diploma in Business Administration or a Law-related qualification.
    • At least 2 years of experience in a business or legal administration environment.

    Required Competencies

    The ideal candidate should demonstrate the following skills and competencies:

    • Computer Literacy: Proficiency in MS Word, Excel, and PowerPoint.
    • Understanding of RAF Systems: Familiarity with RAF’s internal systems and procedures is an advantage.
    • Language Proficiency: Proficiency in English and one other official language is required.
    • Planning and Organisational Skills: Strong ability to organize, plan, and coordinate various administrative activities.
    • Communication and Interpersonal Skills: Excellent communication skills and the ability to work well with others.
    • Confidentiality: Ability to handle sensitive information with the utmost confidentiality.
    • Administrative and Research Skills: Strong administrative abilities with experience in legal research.
    • Writing and Transcription Skills: Capability to transcribe audio files and prepare legal documents with precision.
