Minimum Requirements

To qualify for this role, candidates must meet the following criteria:

  • A Secretarial Certificate or an equivalent NQF Level 5 qualification.
  • Previous secretarial experience in a political environment (advantageous).
  • Computer literacy in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong communication and interpersonal skills.
  • Knowledge of protocols and the ability to maintain discretion and security awareness.
  • Understanding of the political party manifesto and its policies.
  • A valid driver’s licence and own transport are essential.

Core Responsibilities

As a Party Secretary, your main duties will include:

1. Administrative & Secretariat Services

  • Provide general secretarial support to the party.
  • Maintain confidential filing systems.
  • Plan, coordinate, and monitor party activities.
  • Assist with document storage, retrieval, and processing.
  • Handle queries and direct them as instructed by the Chief Whip.

2. Meeting Coordination

  • Take and file Caucus meeting minutes.
  • Prepare meeting documents for the Chief Whip, Leader, and Chairperson.
  • Coordinate meetings between the Chief Whip and Chief Whip Council.
  • Assist Councillors with meeting preparations.

3. Stakeholder Engagement

  • Act as a liaison between the Chief Whip’s Office and relevant stakeholders.
  • Communicate with external organisations and institutions.

4. Office & Financial Administration

  • Receive, acknowledge, and manage correspondence.
  • Monitor financial deductions of Councillors as assigned by the Chief Whip.
  • Ensure efficient office administration.
  • Provide a comprehensive receptionist service.
