    Registry Clerk Job Purpose

    The main purpose of this role is to provide efficient and effective registry services to support the Department of Social Development’s operations in the Western Cape. The Registry Clerk will handle various administrative tasks, ensuring the smooth management and flow of documents and correspondence.

    Key Responsibilities

    • Attend to clients and handle telephonic and other enquiries received.
    • Receive and register hand-delivered mail/files.
    • Receive, sort, register, and dispatch mail.
    • Distribute notices on registry issues.
    • Open and close files according to the record classification system.
    • File, store, trace (electronically/manually), and retrieve documents and files.
    • Complete index cards for all files.
    • Manage machines related to the registry function.
    • Open and maintain the franking machine register.
    • Perform electronic scanning of files.
    • Sort and package files for archives and distribution.

    By fulfilling these responsibilities, the Registry Clerk plays a crucial role in ensuring the efficient functioning of the Department of Social Development. Their work supports the department’s mission to enhance social welfare services and improve the quality of life for individuals and communities in the Western Cape.

    Minimum Requirements

    • Education: Grade 12 (Senior Certificate or equivalent qualification).
    • Recommendation: A valid code B (or higher) driving license. Note: Individuals with disabilities that restrict driving abilities but have reasonable access to transport may also apply.
    • Personal Attributes:
    • Integrity and Confidentiality: Demonstrates high ethical standards and the ability to handle confidential information discreetly.
    • Adaptability: Able to adapt to changing work environments and demands.
    • Problem-Solving Skills: Effective in identifying issues and implementing practical solutions.
    • Team Player: Works well collaboratively with colleagues and contributes to a positive work environment.

    • Knowledge:
      • Registry duties and practices.
      • Legislative framework governing the Public Service.
      • Storage and retrieval procedures.
      • Data capture and computer operation.
    • Skills:
      • Proven computer literacy.
      • Written and verbal communication.
      • Planning and organizing.
      • Problem-solving.

    Remuneration

    • Salary: R 216 417 per annum (Salary Level 5).
    • Service Benefits: Includes medical assistance, housing assistance, pension-fund contributions, etc., as per applicable prescripts or collective agreements.
