    The Development Bank of Southern Africa (DBSA) is seeking a Project Administrator to join their team in Midrand, Gauteng, on a permanent basis. The successful candidate will support the Local Government Support structure by providing comprehensive project administrative assistance, consolidating reports, and maintaining records management systems.


    This role is essential for driving efficiency and ensuring the smooth execution of various projects within the department.

    Project Administrator Position Details

    • Job Grade: 12
    • Location: Midrand, Gauteng
    • Closing Date: 5th December 2024
    • Reference Number: DBS241119-1

    Key Responsibilities

    The role encompasses two primary areas of focus:

    1. Project Administration

    • Providing administrative support to local government teams.
    • Managing diaries, scheduling meetings, and documenting minutes.
    • Facilitating secretariat functions for committees and ensuring governance compliance.
    • Assisting in developing and maintaining project schedules and management plans.
    • Performing delay analyses, forecasting trends, and providing early warnings for schedule changes.
    • Managing procurement and contract administration, including processing invoices and claims.
    • Liaising with internal departments like Supply Chain Management (SCM), Legal, and ICT.
    • Preparing and consolidating reports, presentations, and performance updates.
    • Supporting the preparation of client meeting materials and proposals.
    • Tracking project deliverables throughout the lifecycle using systems like SAP.

    2. Project Reporting and Records Management

    • Monitoring and reporting on project schedule performance.
    • Consolidating performance reports, including risks and budget variances.
    • Preparing detailed monthly programme cost reports.
    • Maintaining an organised records management system for documents such as contracts and proposals.
    • Administering the service provider database to ensure information is centralised and accessible.

    Performance Expectations

    The Project Administrator will be measured by:

    • Efficiency in completing day-to-day administrative tasks, including diary management and meeting arrangements.
    • Accuracy in maintaining project schedules and identifying milestones or critical paths.
    • Timely preparation of performance reports and financial forecasts.
    • Consistent tracking of project implementation phases and deliverables.
    • Effective consolidation of project-related data for decision-making processes.

    Key Stakeholders

    The role requires collaboration with various internal and external stakeholders, including:

    • Internal: Executives, Programme Leads, and DBSA staff across departments.
    • External: Metros, municipalities, service providers, government bodies, and development finance institutions.

    Qualifications and Experience

    To excel in this role, candidates must meet the following requirements:

    • Education: Diploma in project management, administration, or a related field.
    • Experience: Minimum of 3 years in a similar administrative role.
    • Skills:
      • Knowledge of project methodologies (e.g., PMBOK, Prince2).
      • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and MS Projects).
      • Experience in supply chain management and financial reporting.
      • Ability to prepare high-quality reports and presentations for senior stakeholders.
      • Familiarity with systems like SAP for data management and analysis.
