Assistant Administration Job Description
The Assistant Administrator will provide vital support to the Grants and Projects Business Unit, ensuring seamless operations. Reporting to the Regional Manager in KwaZulu-Natal, this role is integral in coordinating administrative functions, tracking progress, and supporting grant management.
Key Responsibilities
- Document Preparation and Distribution
- Ensure all required documentation is prepared, processed, and filed promptly.
- Manage administrative tasks to support project execution.
- Compliance Management
- Implement and maintain the Quality Management System within the Grants Unit.
- Ensure compliance with legislation and CHIETA policies for Workplace Skills Plans (WSPs) and Annual Training Reports (ATRs).
- Follow up on late submissions of WSPs and ensure adherence to deadlines.
- Grant Management and Monitoring
- Lead grant management projects with attention to detail.
- Track, monitor, and report on project successes and challenges.
- Risk and Resource Management
- Identify risks and report them to management.
- Ensure the cost-effective utilization of resources.
- Team Collaboration
- Build strong working relationships and support team members in achieving organizational goals.
- Problem-Solving and Innovation
- Solve challenges effectively within the scope of operations.
- Promote teamwork and collaborative solutions aligned with CHIETA’s core values.
Minimum Requirements
- An NQF Level 6 qualification or diploma in Business Administration or a related field.
- At least two years of administrative experience, preferably in a SETA environment.
