Key Responsibilities
As a Personal Assistant, you will be responsible for:
- Secretarial and Receptionist Support:
- Managing the Director’s schedule.
- Handling phone calls and correspondence.
- Preparing documents and presentations.
- Administrative Support Services:
- Maintaining accurate records and filing systems.
- Assisting with financial administration tasks.
- Organizing and coordinating departmental activities.
- Meeting Support:
- Scheduling meetings and preparing agendas.
- Taking minutes and following up on action points.
- Compliance and Policy Administration:
- Ensuring compliance with departmental policies.
- Assisting with audits and staff reporting.
- Travel and Logistics:
- Organizing travel arrangements for the Manager.
Minimum Requirements
To qualify for this role, you must meet the following criteria:
Education and Qualifications
- An accredited secretarial diploma and/or administrative qualification at NQF level 5.
- Proof of completion of qualification is required.
Experience
- Proven experience in providing secretarial/administrative support services to management.
Skills and Knowledge
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Advanced knowledge of Excel and PowerPoint is advantageous.
- Knowledge of financial administration processes.
- Familiarity with AI tools for administrative work.
- Excellent written and verbal communication skills.
- Good telephone etiquette and organizational skills.
