The Mining Qualifications Authority (MQA) is a Sector Education and Training Authority (SETA) that supports skills development in South Africa’s mining and minerals sector. Key Responsibilities
The Personal Assistant to the Chief Operating Officer Job Opportunity at MQA includes a wide range of responsibilities. Below are the main job functions:
1. Personal Assistant Duties
- Manage the COO’s schedule/diary and track managers’ diaries reporting to the COO.
- Ensure that the COO’s office complies with MQA policies.
- Liaise with internal and external stakeholders to maintain relationships.
- Organize meetings, workshops, conferences, and other events.
- Maintain accurate manual and electronic filing systems.
- Prepare and distribute meeting documents and ensure accuracy.
- Provide secretarial support for ad hoc committees.
- Organize travel and accommodation for the COO when required.
- Prepare and submit weekly project monitoring reports for operational units.
2. Corporate Governance & Administration
- Identify and mitigate risks in the COO’s office.
- Implement internal controls for governance.
- Maintain confidentiality and privacy for sensitive documents.
3. Stakeholder & Relationship Management
- Act as a liaison between the COO and internal/external stakeholders.
- Handle communications, calls, and emails on behalf of the COO.
- Provide stakeholders with information on policies, projects, and initiatives.
- Facilitate meetings by ensuring all attendees are informed and prepared.
4. Reporting & Documentation
- Consolidate and submit monthly senior management reports to the COO.
- Compile board, EXCO, and sub-committee submissions.
- Conduct research and prepare reports for the COO’s consideration.
5. Customer Service & Stakeholder Engagement
- Exceed customer expectations through effective communication.
- Work with internal and external partners to improve service delivery.
- Address queries and concerns from stakeholders in a professional manner.
6. Financial & Budget Management
- Manage expense claims and petty cash for the COO’s office.
- Ensure procurement policies are followed when making purchases.
- Administer and track the COO’s office budget.
7. Quality Assurance & Continuous Improvement
- Ensure that all work processes align with quality standards.
- Identify areas for continuous improvement.
- Implement corrective actions when necessary.
Minimum Qualifications & Experience

Educational Requirements
Diploma (NQF Level 6) in

- Strong proficiency in MS Office (Word, Projects, Excel, PowerPoint, and Outlook).
