Purpose of the Job
The purpose of the Administrative Assistant role is to provide efficient and effective administrative support to the Document Management Department of the RAF. This support will ensure smooth daily operations and assist in the seamless handling of documentation and records management within the department. The administrative assistants will also contribute towards maintaining compliance standards and adhering to internal control measures.
Key Responsibilities and Duties
1. Compliance Administration
Administrative Assistants will be expected to:
- Maintain up-to-date written documentation related to the department’s business activities.
- Ensure compliance with policies, processes, and internal standards.
- Stay informed of internal business goals to ensure that all documentation and actions align with set standards.
2. Office Coordination
- Assist in follow-ups on outstanding matters and ensure requests are handled and responded to within set timelines.
- Ensure the availability of office supplies and stationery.
- Validate and verify submitted information and documents for accurate capturing and handling.
- Allocate reference numbers and capture related documents accurately on different systems.
- Check for duplicate documents and queries, and report on them.
- Allocate matters to the responsible team members and draft letters to stakeholders as required.
3. Meeting Support
- Arrange meetings on behalf of the department, ensuring adherence to governance standards.
- Assist in taking and distributing minutes of meetings.
- Create and maintain a register to track matters that are pending or require follow-up.
- Schedule appointments and manage team diaries effectively.
4. Document and Records Management
- Administer records management and filing processes in line with the RAF filing plan.
- Ensure the filing system is always up-to-date, functional, and accessible.
- Maintain the confidentiality of all documents.
- Acknowledge the receipt of documents, apply file number allocation, record data onto the computer system, and file appropriately.
Qualifications and Experience Requirements

Experience
