Requirements
To be eligible for this position, applicants must meet the following requirements:
- Grade 12 and NQF L5/6 (Higher Certificate/Diploma)
- Minimum of two (2) to three (3) years’ relevant experience
- Special Requirements: Communication (verbal & written), Analytical, Planning and Organisation, Computer (MS Word and MS Excel)
- Ability to interpret and apply policies and prescripts
- Knowledge of the PERSOL mainframe system
- Sound knowledge of personnel acquisition and staffing guidelines
Duties
As a Senior Administrative Officer, your core functions will include:
- Assisting and coordinating the staffing processes and procedures for the DFSC.
- Coordinating the probation processes of newly appointed employees within the DFSC Secretariat.
- Coordinating the nomination of courses, symposia, and seminars for the DFSC.
- Providing secretarial functions to the ETD Board and coordinating the processing of applications.
- Ensuring maintenance of personal files and personal documents for all employees of the DFSC (Secretariat and Commissioners).
- Updating personal information on PERSOL.
- Coordinating and processing leave applications of all employees in the DFSC.
- Ensuring effective administration and processing of appointments of new employees and Commissioners.
- Providing HR administration services to the Commissioners, including salary administration, S&T administration, and maintaining a list of attendance registers.
- Coordinating and facilitating compensatory allowances for DFSC employees.
- Providing HR administrative services for all new appointees in the DFSC.
- Administering and coordinating attachments and detachments to and from the DFSC.
- Administering the termination of service for DFSC employees.
- Ensuring effective pension administration for all officials within the DFSC.
- Completing and monitoring the work attendance register.
- Ensuring the completion of monthly schedule name lists with relevant transactions by capturing schedules and non-confirmation on PERSOL in time.
- Ensuring the effective management of HR processes for the DFSC.
- Facilitating the capturing of HR transactions on PERSOL.
