Duties
- Telephone Handling: Answer and direct incoming calls, taking messages and providing information as required.
- Customer Service: Greet and assist visitors, students, and staff with inquiries, ensuring a friendly and professional demeanor.
- Information Processing: Prepare and manage correspondence, including memoranda, letters, emails, and reports.
- Meeting Coordination: Schedule and organize meetings, prepare agendas, and take minutes.
- Supplies Management: Monitor and order office supplies to ensure the office is well-stocked and operational.
- Filing Systems: Maintain accurate and efficient filing systems for both electronic and paper documents.
- Record Organization: Organize and store documents and records in compliance with the college’s policies and procedures.
- Mail Handling: Collect, sort, and distribute incoming and outgoing mail, including faxes and courier packages.
- Archiving: Assist in the archiving of old documents and records, ensuring they are stored securely and can be retrieved when necessary.
- Data Entry: Accurately capture and input data into relevant databases and systems.
- Student Registration: Assist with the registration process for new and returning students, ensuring all data is correctly captured.
- ITS Data Capturing: Perform data capturing tasks using the Integrated Tertiary Software (ITS), ensuring data integrity and confidentiality.
- Report Generation: Generate and compile reports as required by management, using collected data and statistics.
- Database Management: Maintain and update student and administrative databases, ensuring information is current and accurate.
- Event Coordination: Assist in planning and organizing college events, workshops, and seminars.
- Communication Management: Draft and distribute internal communications, notices, and announcements.
- Support Services: Provide administrative support to various departments as needed, adapting to the dynamic needs of the college.
- Quality Assurance: Ensure that all administrative activities are conducted in accordance with the college’s quality standards and policies.
- Confidentiality Maintenance: Handle sensitive and confidential information with the utmost discretion and professionalism.
