Key Responsibilities
As a Personal Assistant within the Department of Traditional Affairs, you will be entrusted with a wide range of responsibilities aimed at ensuring the smooth operation of the Institutional Support & Coordination Branch. Your duties will include:
- Office Management and Administration:
- Develop and manage an efficient filing system and document flow within the branch.
- Receive, record, and distribute documents, ensuring all paperwork is properly filed and managed.
- Establish effective document tracking systems to maintain organizational efficiency.
- Secretarial Support:
- Coordinate and prepare documentation for meetings and workshops.
- Compile minutes and reports, draft memoranda, and manage other correspondence.
- Manage the diary of the Branch Manager, ensuring appointments are well-coordinated and recorded.
- Administrative Support:
- Ensure the smooth flow of information and documents to and from the office.
- Safeguard all documentation in line with relevant legislation and policies.
- Compile reports such as progress reports, monthly reports, and management reports.
- Handle inquiries from both internal and external stakeholders.
- Arrange logistics for travel, meetings, workshops, and conferences.
- Communication and Coordination:
- Manage telephone and communication systems within the office.
- Purchase and order stationery and equipment, and manage inventory within the unit.
- Provide administrative support by scrutinizing documents, recording meeting minutes, and preparing briefing notes for the Branch Manager.
Requirements
To be considered for this Personal Assistant role, you must meet the following requirements:
- A National Diploma in Office Administration, Public Management, or a relevant qualification at NQF level 6/7.
- 3-5 years of experience in providing administrative support to a senior manager.
- Excellent communication skills with the ability to interact effectively with people at various levels and from different backgrounds.
- Proficiency in office management, secretarial functions, and administrative systems.
- Strong organizational skills, good telephone etiquette, and integrity.
