Administration Manager Job Description
The Administration Manager will oversee the efficient running of the Qonce Local Office’s administrative functions, ensuring compliance and operational effectiveness. The role demands a candidate with strong leadership capabilities, financial management knowledge, and the ability to navigate Legal Aid SA’s policy framework.
Key Responsibilities
The primary duties of the Administration Manager include, but are not limited to, the following:
- Office Process Management: Manage finance, human resources, communications, and legal administration processes within a matrix environment.
- Administrative Compliance: Oversee the implementation and adherence to the local office’s Manual and Standard Operating Procedures (SOPs).
- Risk and Strategy Management: Identify risks and ensure effective mitigation. Provide oversight on Business Intelligence (BI) reports for strategy implementation.
- Contract and Financial Management: Ensure the management of local office contracts for compliance and value for money. Control the use of petty cash, procurement, and payments.
- Infrastructure and Asset Management: Manage the local office’s infrastructure and fixed assets.
- Team Leadership: Lead and manage a diverse team to ensure efficiency and accountability.
- Vehicle and Fleet Management: Ensure proper management of office vehicles and fleet.
Requirements
To be considered for this role, candidates must meet the following requirements:
- Educational Qualification:
- National Senior/Matric Certificate.
- A three-year Financial Management/Accounting tertiary qualification (NQF 6/National Diploma).
- A Supply Chain Management qualification would be advantageous.
- Experience:
- At least five (5) years of administrative experience.
- Two (2) years of relevant management experience.
- Skills and Knowledge:
- Strong leadership and problem-solving skills.
- Experience in supply chain management.
- Business writing and project management skills.
- Competency in compiling and interpreting reports and statistics.
- Working knowledge of relevant statutes, such as the Constitution, PFMA, and Legal Aid SA Act.
- Knowledge of employment-related Acts and electronic systems.
- Additional Requirements:
- A valid driver’s licence.
- Ability to develop and implement operational plans.
- Resource and risk management skills.
