About the National Gambling Board (NGB)
The NGB is a statutory body established under the National Gambling Act of 2004 (Act 7 of 2004), responsible for overseeing the regulation of the gambling industry across the nation. It operates as a Schedule 3A Public Entity in compliance with the Public Finance Management Act (PFMA) of 1999 (Act 1 of 1999). The NGB’s mandate includes ensuring that gambling activities are regulated in a fair and responsible manner, promoting uniformity in the legislation governing the industry, and facilitating economic transformation and increased participation of historically disadvantaged individuals.

Purpose of the Personal Assistant Role
The purpose of this role is to provide secretarial support to the Chief Strategic Adviser (CSA) and handle administrative tasks within the office. This involves coordinating meetings, managing schedules, handling correspondence, and ensuring smooth office operations. If you are efficient in managing executive-level diaries and confident in your ability to provide comprehensive administrative support, this role is for you.
Key Performance Areas
1. Diary Management and Meeting Coordination
- Manage the CSA’s diary by scheduling meetings promptly and correctly.
- Record meetings on the electronic calendar for easy reference by the CSA.
- Arrange boardrooms and refreshments for visitors.
- Meet and greet CSA’s visitors and ensure they are escorted to the office or boardroom.
- Prepare itineraries including travel arrangements and contact details.
- Submit approved travel claims for reimbursement upon the CSA’s return.
2. Secretarial Support
- Type business letters, memorandums, and general correspondence.
- Assist in preparing meeting packs and gathering information for meetings.
- Coordinate responses to routine correspondence for the CSA’s office.
- Transcribe minutes of meetings and distribute them to relevant role players.
3. Office Support
- Screen telephone calls to prevent unnecessary interruptions.
- Correctly record and relay messages promptly to the CSA.
- Act as the point of contact for stakeholders to ensure smooth operations.
- Maintain an effective filing system for ease of document retrieval.
- Develop and maintain a database of contacts for current information.
4. Administration of Performance Information
- Ensure that all direct reports of the CSA have scorecards in place.
- Coordinate the performance management process between the CSA and direct reports.
- Track the performance progress of direct reports in relation to the overall goals.
5. Records Management
- Ensure records management is performed in accordance with NGB’s approved file plan and electronic document management system.
Minimum Job Requirements
Qualifications
- A three-year National Diploma or Degree in Administration or Management.
Experience
- A minimum of five (5) years of relevant experience as a Personal Assistant, of which three (3) years should be in a secretarial role supporting an Executive Manager.
Skills and Competencies
The ideal candidate should possess the following skills and knowledge:
- Skills: Typing, business English, communication, meeting coordination, and minute-taking.
- Knowledge: Familiarity with the Public Finance Management Act and National Treasury guidelines and regulations.
