Executive Personal Assistant Job Description
This role serves as the backbone of the Human Resources Executive’s (HR Executive) Office, coordinating and supporting HR-related initiatives and projects. The Executive Personal Assistant will be pivotal in streamlining operations, enhancing efficiency, and ensuring the smooth execution of the HR Executive’s responsibilities.
Key Responsibilities
1. Executive Support
- Organize and manage the HR Executive’s calendar, ensuring optimal scheduling of appointments, meetings, and travel.
- Prepare agendas, reports, and presentations for meetings.
- Act as a liaison between the HR Executive and stakeholders, managing correspondence and communication.
2. Administrative Management
- Maintain an efficient and organized filing system for documents and records.
- Proofread and draft official correspondence, reports, and presentations.
- Manage office supplies and logistics for meetings and workshops.
3. Confidentiality and Professionalism
- Handle sensitive information with the utmost discretion.
- Exhibit professionalism in all interactions with internal and external stakeholders.
4. Project Coordination
- Track and manage HR projects and deliverables.
- Compile data and reports on HR initiatives for analysis and presentation.
5. Relationship Management
- Build and sustain professional relationships with various stakeholders.
- Act as the HR Executive’s representative in fostering collaboration between departments.
Requirements
Educational Qualifications
- National Diploma or Bachelor’s Degree in Office Administration, Business Administration, or related field.
Professional Experience
- At least five years of experience as a Personal/Executive Assistant, with at least two years at the executive level.
Technical Proficiency
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
Competencies
- Strong organizational and multitasking abilities.
- Excellent communication skills—both written and verbal.
- High level of integrity, professionalism, and confidentiality.
- Strong interpersonal skills to build and maintain relationships across all levels.
