About the Road Accident Fund
The Road Accident Fund (RAF) provides cover to all road users in South Africa, ensuring compensation and rehabilitation for those injured in motor vehicle accidents. As part of its mission, the RAF actively promotes safe road usage while ensuring the fair and efficient processing of claims.
Purpose of the Role
The Administrative Assistant will provide day-to-day administrative support to the Document Services department. This role involves ensuring compliance with RAF policies, managing documents and records, and coordinating office activities to enhance efficiency.
Key Responsibilities
1. Compliance Administration
- Ensure compliance with RAF policies and process standards.
- Stay updated on internal standards and business goals.
- Adhere to sound internal control procedures.
2. Office Coordination
- Follow up on outstanding matters within the department.
- Ensure all administrative requests are handled within set timelines.
- Maintain an adequate supply of stationery.
- Validate and verify submitted information and documents.
- Keep digital and physical records updated.
- Identify and report duplicate documents, requests, and queries.
- Allocate reference numbers and accurately capture documents.
- Distribute tasks among team members.
- Draft and send letters to stakeholders.
3. Document and Records Management
- Maintain accurate records and filing systems in line with the RAF filing plan.
- Retrieve information as requested.
- Ensure document confidentiality and proper distribution.
- Acknowledge receipt of documentation and allocate file numbers.
- Digitize physical documents through scanning.
- Index and categorize documents for easy access.
- Ensure compliance with data protection regulations.
- Apply QR codes or barcodes for document tracking.
- Monitor document retention periods for archiving purposes.

Minimum Qualifications & Experience
