    Purpose of the Job

    The primary role of the Administration Officer position is to provide efficient and effective administrative and secretarial support to the ICT Department. This involves office management, correspondence handling, meeting administration, financial processing, procurement, and student/staff liaison.

    Minimum Requirements

    To qualify for this role, you must meet the following criteria:

    • A relevant Diploma/Degree (NQF Level 7)
    • 3 to 4 years of experience in a related field
    • Strong computer literacy skills, including proficiency in Microsoft Word

    Duties and Responsibilities

    As an Administration Officer, your key responsibilities will include:

    General and Office Administration

    • Managing office operations and ensuring administrative efficiency
    • Organizing files and documentation
    • Handling correspondence and communication
    • Assisting with the implementation of office procedures

    Typing and Correspondence Handling

    • Preparing letters, reports, and emails
    • Managing office communications effectively

    Meeting Administration & Diary Management

    • Scheduling meetings and appointments for the Director/Head of Department
    • Booking meeting venues using an electronic diary system
    • Preparing agendas and minutes

    Front Office Assistance

    • Providing reception support when needed
    • Answering and directing calls professionally
    • Assisting visitors, students, and staff with queries

    Procurement and Purchase Orders

    • Processing and monitoring purchases for the department
    • Ordering stationery and ensuring stock availability
    • Managing the procurement process by handling purchase orders (POs)
    • Ensuring that PO requests are properly signed and approved
    • Communicating with vendors regarding outstanding deliveries and payments
    • Ensuring monthly reconciliation of unpaid POs

    Financial Administration

    • Maintaining and reconciling vendor accounts
    • Liaising with creditors regarding payment queries
    • Submitting purchase orders for payment

    Client/Student Liaison

    • Coordinating communication between schools, departments, and sections
    • Responding to queries from students, staff, and visitors

    Monitoring, Evaluation, and Reporting

    • Updating the asset register and maintaining office equipment records
    • Monitoring office supplies and consumables
    • Ensuring meeting rooms, notice boards, and common areas remain tidy
    • Overseeing cleaning and maintenance staff
