Administration Officer Job Description
The Administration Officer will serve as the main contact point for both internal and external clients. The primary goal of this role is to support management and employees by handling various administrative duties efficiently.
Key Responsibilities
General Administrative Functions
- Assist management and the department with diary management and scheduling meetings.
- Prepare departmental reports and documents while ensuring accuracy and completeness.
- Collate and package documentation for meetings and presentations.
- Circulate required information and maintain accurate records.
- Develop and maintain an organized filing system for easy document retrieval.
- Classify and record documents to ensure easy tracking.
- Organize and coordinate departmental functions and meetings.
- Provide administrative support for departmental activities.
- Prepare and circulate meeting minutes.
- Assist in budget preparation and expenditure reporting.
- Process operation manuals and amendments as required.
- Arrange domestic and international travel for employees, including approval submissions and travel logistics.
Office and Stakeholder Management
- Manage office consumables and coordinate with procurement for stock replenishment.
- Handle requests for office assets, including delivery, allocation, and tracking.
- Track project progress and prepare status reports.
- Ensure effective communication with SACAA employees and external stakeholders.
- Promptly respond to telephonic, emailed, and in-person inquiries.
Educational Requirements
Minimum Qualification
- Grade 12 (Matric) with an added advantage for candidates holding a Certificate in Office Administration.
Ideal Qualification
- Diploma in Office Administration, Secretary, or Office Management.
Experience Required
- One to three years of experience in Office Administration or as a Secretary.
