Key Responsibilities
The successful candidates will report to the Manager: Planning and Performance and will be responsible for the following tasks:
Procurement Assistance
- Addressing enquiries from business units about procuring goods and services.
- Creating purchase requisitions and issuing purchase orders for the SCM department.
- Requesting quotations and closing tenders, ensuring sequential tender numbering.
- Verifying goods delivered against purchase orders and liaising with vendors for discrepancies.
Administrative Duties
- Assisting Supply Chain Management staff with general office duties.
- Managing departmental meetings, including scheduling appointments, coordinating agendas, and taking minutes.
- Handling correspondence and distributing documents as needed.
- Maintaining and updating inventory lists on the Pastel system and generating monthly usage reports for the Finance Manager.
- Ensuring system compliance with procurement policies.
Contract Management
- Tracking contract documentation, ensuring all contracts are complete and maintained.
- Recording contract expiry dates and notifying the contract manager.
- Keeping the departmental board updated with tender statuses.
General Office Tasks
- Maintaining stationery stock levels and purchasing supplies when necessary.
- Arranging travel and accommodation bookings for the procurement department.
- Corresponding with vendors about database registration and procurement-related queries.
Qualifications and Experience
To qualify for this role, candidates must meet the following criteria:
Educational Requirements
- Diploma in Administrative Management.
Work Experience
- 2–3 years of administrative experience, preferably in a finance department.
Skills and Knowledge
- Proficiency in procurement processes and database management.
- Intermediate knowledge of Microsoft Office Suite (Word, Excel, and Outlook).
- Strong organizational and communication skills.
