Key Responsibilities:
As the Assets Officer, your role will involve a variety of responsibilities, including but not limited to the following:
Asset Management:
- Reconciliation of the fixed assets register, ensuring all movable assets, work in progress, land, buildings, leased assets, leasehold improvements, and intangible assets are accurately recorded and reconciled with the general ledger.
- Assisting with the unbundling of work in progress to land and buildings, aligning with the accounting framework.
- Overseeing asset verification and reporting on any discrepancies or variances, with recommendations for resolution.
- Managing operational requirements for asset management, including barcoding needs and ensuring asset identification processes are in place for additions and disposals.
- Depreciation management, ensuring correct calculation and application in line with the university’s accounting framework.
- Identifying assets at risk of full depreciation and monitoring any indicators that might lead to impairment or changes in the asset’s useful life and residual value.
Infrastructure Cashbook:
- Processing payments from the infrastructure bank account.
- Bank reconciliations to ensure alignment with bank statements.
- Reconciliation of the infrastructure subsystem to the general ledger, ensuring accuracy in the financial records.
User Education and Training:
- Staying updated with any changes in accounting standards and understanding their impact on financial reporting.
- Providing day-to-day coaching to staff on asset management policies, procedures, and protocols.
- Assisting with training and orientation of new staff in asset management practices.
Policy and Procedure Development:
- Contributing to the development and improvement of the university’s asset management policies and procedures, offering suggestions to enhance operational efficiency.
- Providing input to the Resource Management function, ensuring fair allocation of workloads and overseeing the operational activities of junior staff members.
Monitoring, Evaluation, and Reporting:
- Assisting in the preparation of asset figures for quarterly financial reporting.
- Preparing asset schedules for year-end financial statements, ensuring compliance with accounting policies.
- Researching and implementing best practices in asset management, and assisting with strategic and operational reporting to the university’s relevant committees and council.
Customer Service and Communication:
- Providing excellent customer service by addressing queries related to asset management.
- Collaborating with relevant stakeholders to ensure alignment on asset management practices and reporting requirements.
Minimum Requirements:
To be considered for this position, candidates must meet the following minimum qualifications and experience:
- A Bachelor’s degree in Accounting.
- A minimum of 3 years’ work experience, including at least 1 year at a supervisory level within asset management.
- Proficiency in MS Office (particularly Excel and Word).
Recommended Qualifications:
- Familiarity with the Integrator System (ITS), particularly in asset management processes.
