Position Overview
The Secretary will provide professional, efficient, and effective secretarial and administrative support to the Finance Shared Services Manager (FSSM) and associated departments within the division. The successful candidate will be a key support figure, ensuring the smooth operation of the office, effective communication, and the seamless execution of duties within Finance Shared Services.
Minimum Requirements
- Matric with a Secretarial/Administrative Certificate.
- A minimum of 3-5 years’ experience in an administrative or secretarial role.
- SAP knowledge is essential.
- Advanced MS Office Suite skills, particularly Word, Excel, and PowerPoint.
Primary Duties and Responsibilities
- Diary and Office Management
- Manage and maintain the Finance Shared Services Manager’s diary effectively.
- Ensure all meetings, deadlines, and tasks are scheduled and prioritized.
- Organize and coordinate monthly or quarterly departmental meetings.
- Administrative and Secretarial Support
- Provide reception services, including handling telephone calls, correspondence, and emails.
- Type, review, and proofread documents, including reports, letters, and memos.
- Conduct quality assurance checks to ensure all documents adhere to Rand Water’s Corporate Identity and standards.
- Reporting and Meeting Coordination
- Prepare and submit reports for TMC, EXCO, Board, and subcommittees.
- Organize meetings, conferences, and events for Finance Shared Services.
- Take, type, and distribute accurate minutes of meetings.
- Customer and Stakeholder Liaison
- Maintain professional and effective relationships with internal and external stakeholders.
- Respond to queries and requests promptly, ensuring customer satisfaction.
- Resource and Budget Management
- Track departmental budgets, focusing on expenditures such as stationery and supplies.
- Order and manage stationery, ensuring adequate availability at all times.
- Arrange travel requirements, including flights, accommodation, and transport, in coordination with the travel administrator.
- SAP Administration
- Utilize SAP for creating purchase requisitions, reservations, and receipting purchase orders.
- Maintain accurate financial records and assist with budget tracking.
- General Office Management
- Implement and maintain effective filing systems and databases.
- Perform general office tasks such as photocopying, faxing, and organizing departmental files.
