Purpose of the Job
The Project Administrator will provide essential administrative and coordination support for the Project Department, ensuring efficient project management and smooth operation of various initiatives.
Key Responsibilities
- Client Interaction: Address client queries via phone, face-to-face, and written communication. Manage call center referrals and maintain high service quality.
- Stakeholder Communication: Keep stakeholders informed and updated to ensure high service delivery standards.
- Document Management: Maintain and organize important documents, invoices, and contracts. Implement and manage an efficient filing system for quick document retrieval.
- Project Support: Update project records, assist in project visits, and coordinate logistics for site visits. Support project delivery and track performance indicators.
- Administrative Duties: Provide secretariat support including minute-taking and organizing meetings. Prepare event documents and manage logistics for events.
- Financial Administration: Manage invoice payments, track project expenditures, and provide financial support during audits. Handle bursary applications and related documentation.
- Reporting: Prepare and review SETMIS reports, commitment schedules, provisions, and accruals.
Required Qualifications
- Qualification: Diploma in Business Management, Public Administration, Finance, Accounting, Internal Auditing, or a relevant qualification at NQF Level 6.
Required Experience
- Essential: At least 2 years of administrative experience.
- Advantageous: Experience in bursary administration.
