Administrative Assistant Job Purpose
The primary purpose of the Administrative Assistant is to offer essential support to the Officer, Senior Officer, and Team Leader. This role is designed to ensure the efficient operation of the RAF’s Durban branch through a combination of compliance, document management, office coordination, and meeting support.
Key Responsibilities and Performance Areas
1. Compliance Administration
- Maintain up-to-date written documentation regarding departmental business activities.
- Ensure that all administrative tasks comply with RAF’s policy and process standards.
- Stay informed of internal standards to ensure adherence to control measures.
2. Office Coordination
- Track and follow up on outstanding matters to ensure timely resolution.
- Manage stationery and office supply levels within the department.
- Validate and verify incoming documents, capture data accurately, and keep systems updated.
- Report on any duplicate documents or queries and allocate reference numbers accordingly.
- Distribute work to team members, send out required letters, and engage with stakeholders.
3. Meeting Support
- Organize and confirm meetings, managing schedules for internal and external stakeholders.
- Support team members by tracking follow-up items and scheduling appointments as needed.
- Handle all meeting requests and diary management to streamline branch activities.
4. Document and Records Management
- Oversee record-keeping and file management processes in line with RAF protocols.
- Keep the filing system organized, functional, and always ready for information retrieval.
- Ensure the confidentiality of all documents and that documentation reaches the right individuals.
Requirements
To be eligible for this position, applicants should meet the following qualifications:
- Education: Matric or Grade 12 certificate
- Experience: Minimum of 1-year experience in a medical administrative or similar environment, with experience in the medical field being an advantage
