This full-time, permanent position is based at the Auckland Park Kingsway Campus and offers an exciting opportunity to contribute to UJ’s vision of societal impact in the context of the Fourth Industrial Revolution (4IR).
Administrative Officer Position Overview
The incumbent will manage and oversee the administration of employee benefits, including pension/provident funds, medical aid, tuition reimbursements, and leave. This role requires providing guidance to employees and management on various policies and processes, ensuring compliance with legislation, and resolving queries efficiently.
Additionally, the Benefits Administrator will play a pivotal role in data integrity, risk management, and the implementation of UJ’s benefits-related policies.
Core Responsibilities
The responsibilities for this position include, but are not limited to:
Pension/Provident Fund Administration
- Overseeing all aspects of pension and provident fund management.
- Advising employees and line managers on retirement policies, historical benefits, and early retirement processes.
- Maintaining professional relationships with fund administrators.
Claims Management
- Administering retirement, disability, funeral, and death claims.
- Providing support and guidance to employees, families, and financial advisors.
- Assisting with post-retirement medical aid benefits.
Study Benefits
- Coordinating tuition reimbursement programs and advising employees on eligibility and policies.
- Ensuring accurate data entry on Oracle systems.
Leave Administration
- Managing leave records, including historical and sabbatical leave.
- Preparing quarterly reports to identify leave trends and avoid policy misuse.
Long Service Awards
- Facilitating long service award payments and participating in award events.
Policy Development and Compliance
- Assisting in updating benefits-related policies and ensuring compliance with HR regulations.
Training and Job Evaluations
- Providing benefits training to HR generalists and acting as a qualified job evaluator.
- Supporting job evaluation sessions in collaboration with the Senior Manager: Benefits & Remuneration.
Risk and Compliance
- Maintaining data integrity and compiling risk registers.
- Advising on benefits-related risk issues and ensuring resolution within set timelines.
Required Qualifications and Experience
The ideal candidate should meet the following minimum requirements:
- A relevant NQF Level 6 qualification.
- 3–5 years of experience in benefits administration, preferably in a tertiary education setting.
- Advanced computer literacy, particularly in MS Office (Excel, PowerPoint) and Oracle systems.
Preferred Skills and Attributes
Candidates with the following competencies and attributes will be highly regarded:
- High analytical ability and systematic thinking.
- Strong interpersonal and communication skills, with empathy and trustworthiness.
- Proactive problem-solving and ability to work under pressure.
- Knowledge of UJ policies, pension fund legislation, and benefits systems such as AF Online and NBC.
Remuneration
The remuneration for this position is market-related, aligned with the successful candidate’s qualifications and experience.
