Faculty Registrar Job Description
The Faculty Registrar is responsible for overseeing both undergraduate and postgraduate administrative divisions within the Faculty of Engineering and the Built Environment. This position entails a leadership role, reporting directly to the Faculty Dean regarding the key performance areas and contributing to ensuring that faculty procedures run efficiently and comply with university regulations. The role also involves close collaboration with the University Registrar, ensuring that the Faculty’s academic administration meets the standards set by the university.
As the Faculty Registrar, you will be managing a team of administrators, dealing with student inquiries, maintaining academic records, and ensuring that the Student Information Management System (SIMS) is updated with accurate data. Your role will also encompass responsibility for faculty governance, including the Faculty Board, sub-committees, and the creation of the Faculty Rules and Syllabuses Booklet.

Key Responsibilities
As the Faculty Registrar, you will have a wide array of responsibilities that are essential to the academic integrity and operational excellence of the Faculty. These include:
- Overseeing the day-to-day academic and student administrative functions of the Faculty.
- Managing and ensuring the accuracy of student records, academic data, and information in the Student Information Management System (SIMS).
- Supporting the work of the Faculty Board and its various sub-committees, facilitating their operations, and ensuring all meetings are well-documented and organized.
- Liaising with various university offices to ensure that student services are delivered seamlessly.
- Providing guidance and advice to prospective, current, and returning students regarding academic regulations and processes.
- Ensuring the accuracy and publication of the Faculty’s Rules and Syllabuses Booklet.
- Overseeing the implementation of academic prerequisites and program requirements.
- Managing Faculty Standing Orders and ensuring adherence to university policies.
- Leading the development and training of both permanent and temporary staff, especially during peak periods.
- Developing, implementing, and managing faculty-related administrative projects such as examinations, prize-giving ceremonies, and graduation events.
- Managing the Faculty registry budget and ensuring sound governance over faculty meetings, communications, and publications.
Requirements
For the role of Faculty Registrar, the ideal candidate will meet the following qualifications and experience requirements:
- A minimum of an Honours degree or Postgraduate Diploma (PGDip), preferably in Business Administration. A master’s degree, especially an MBA, would be an added advantage.
- At least ten years of experience in a university faculty or support environment, with at least five years in a managerial role. This experience should include managing diverse teams and working with different personalities.
- A thorough understanding of university systems, processes, and procedures.
- Experience working with Oracle’s Student Information Management System (SIMS) would be an advantage.
- Strong transformational management and supervisory skills, with the ability to resolve conflicts and work with multiple stakeholders.
- Technological proficiency in current software programs that support faculty administrative processes.
- Excellent interpersonal skills, with strong planning and implementation skills.
- Experience in minute-taking, servicing committees, and working with university governance structures.
- The ability to work under pressure, manage multiple tasks, and adhere to tight deadlines.
- A keen understanding of faculty decisions and the ability to follow up effectively.
