Key Responsibilities
The Filing Clerk will play a vital role in maintaining systematic organization and compliance with Good Clinical Practice (GCP) standards for study-related activities. Your daily responsibilities will include:
- File Preparation and Management:
- Compile visit packs for participants’ folders/files.
- Ensure visit packs are accurate and up-to-date.
- Issue and collect participant files as per the study schedule.
- Recordkeeping:
- Maintain proper filing of folders for each clinical trial.
- Archive old participant records and resolve filing queries.
- File laboratory results appropriately after data capture.
- Administrative Support:
- Photocopy, fax, and shred documents as required.
- Assist the Principal Investigator or designee in data updates, including laboratory results, adverse events, and concomitant medications.
- Compliance and Coordination:
- Work closely with Study Coordinators to ensure files are prepared for interim and unscheduled visits.
- Liaise with Data Administrators to hand over files for daily operations.
Essential Requirements
Candidates must meet the following minimum requirements:
- Education: Grade 12 / NQF level 4
- Experience:
- 1–2 years in clinical trials (essential)
- Previous filing experience (essential)
- Skills:
- Proficient in MS Office (Word, Excel, Outlook)
- Excellent organizational and time management abilities
- Strong interpersonal and attention-to-detail skills
- Advantageous: Tertiary qualification in administration
